Admin Team Manager, based in London, Competitive basic salary

The role includes (but is not limited to):

1. Contributing to the centralisation of the admin function across the business
• Support the Head of Group Admin to assess the feasibility of centralising some parts of the administrative function
2. Design and implementation of admin processes
• Responsible for the implementation of projects to streamline and improve iO processes and to assist with the design and implementation of new processes where required. Conduct regular reviews of existing company processes to improve efficiency and consistency across teams
• Coordinate the quarterly administration meetings, including preparation and presentation, alongside the Head of Group Admin and Systems Coordinator
3. Training documentation and delivery
• Manage the provision of induction training for new employees, including design, delivery and on-going enhancement of the programme (covering iO, Volume and any other central system requirements)
• Manage the provision of training for existing admin staff, with particular focus on the roll-out of new processes (covering iO, Volume and any other central system requirements)
• Assist in the preparation and maintenance of training documentation for admin staff, including iO, compliance, regulatory requirements, financial products and other company requirements
• Assist in the preparation and maintenance of Company documentation
4. Auditing and monitoring of data quality
• Responsible for data auditing and monitoring across the admin teams, working closely with the Head of Group Admin and Systems Coordinator. Ensure that all documents, communications and client data are accurately maintained, and that clients receive an efficient and consistent service
• Contribute to the development of KPIs for admin staff, supporting accurate systems reporting and assisting with the monitoring and development of admin staff. Provide feedback to admin staff in relation to performance against agreed objectives, if necessary
5. Compliance
• Work closely with the Compliance Department to ensure that processes meet with their requirements
6. Management reporting
• Support the Head of Group Admin in the provision of accurate MI for the SMT
• Maintain comprehensive knowledge of processes and iO income functionalities, providing support and liaison between accounts and administrators, if necessary
7. Supervision of admin staff
• Supervising the London admin staff, in liaison with the Advisers for whom admin staff are providing day-to-day support, in terms of both workload and performance
