Events Project Coordinator

Job Description:

* Support the Client team in the preparation Proposals

* Attend Client pitch and presentations

* Attend Client meetings, calls and reviews on a regular basis

* Support in the update of the operational process

* Support in the update of the Project Management Tool to reflect project timelines

* Support in the delivery of multiple sized projects of varying complexity within client timeframes and budget

* Ensure accurate Data management

* Support in the communication, timelines and priorities within each project

* Support in the management of supplier and client relationships

* Adhere to client specific SLA’s and process requirements where necessary

* Travel to on-site inspections and project manage events on-site as and when required

* Support in the monitoring of negotiations throughout the project life

* Attend meetings within the project team to provide project status updates

* Adhere to ‘on-site’ etiquette at all times ensuring a positive representation of the company

* Liaison with Governance Team to ensure all process documents are up to date and accurate

* Ensure compliance with all client and company privacy and security protocols

* Ensure compliance with GDPR (General Data Protection Regulations) 2018 Regulations

* Review and give final sign off to all client budgets

* Review and ensure currency exchange is managed in line with financial updates and checked regularly

* Ensure prompt reconciliation post-event

* Manage and submit personal expenses and credit card reconciliations within timeframes specified

Person Specification:

Experience working with Pharmaceutical clients is preferred

Excellent attention to detail

Positive attitude and excellent communication skills

Hands on approach necessary

Additional Information:

* Based in Leatherhead

* £20,000 - £23,000

* 25 days holiday per year

* Discretional Annual Profit Related Bonus (not guaranteed)

* Commission for all New Client Business introduced (% paid for the first year of business)

* Flexible Working (Business needs will always prevail therefore all successful candidates need to be prepared to attend office up to 5 days if required however, and where appropriate, managers may assign work from home at their discretion).
