Successful accountancy practice seeks administrator/receptionist to join their team.

The receptionist/receptionist will be responsible for providing an effective and efficient first point of contact service to all callers to the office - be it on the phone or in person. This role provides vital administrative support to all team members to ensure the smooth running of the office.

Responsibilities

Reception
- Answer the phone in a timely, professional manner. Transfer & screen calls, take messages, and deal with general issues.
- Take enquiries from prospects, booking initial consultations
- Take enquiries from clients, liaising with relevant team member
- Welcome guests.
- Prepare refreshments.
- Meeting planning/preparation and managing bookings.

Administration
- Deal with post - open and stamp all daily mail. At the end of each day, take all outgoing mail to the post box.
- Maintain and order tea/coffee/stationary/office supplies and postage.
- Database management.
- Electronic file creation for new clients.
- Data entry into spreadsheets.
- Data entry into payroll software.
- Data entry for statutory and management forms
- Liaising with clients regarding status of work or missing items.
- Maintaining databases and updating seniors regarding client contact.
- Formatting articles and uploading to mail distribution service.
- Scanning & collating documents, updating databases and team leader when records arrive.
- Assisting the practice manager with preparation of billing reports, creation of bills and Direct Debits

Full training will be provided on the above tasks.

Training is also available for progression to client meetings if desired
