As an Office & Accounts Administrator you will be responsible for all general office administration duties and processing Sales and Purchase Orders, reconciliation, financial analysis and reporting of Purchases transactions.

You will also be responsible for ensuring the integrity of financial information through the provision of accurate and timely processing of transactions. In addition to this you will also be responsible for delivering customer service to internal and external customers of the organisation in relation to finance and administration responsibilities.

Key Responsibilities of an Office & Accounts Administrator

- Processing Hardware Sales and Purchase orders and invoices.
- Processing goods receipt, matching supplier bills and ensuring they are properly coded and matched against POs and entered on time.
- Ad hoc duties related to credit control and emailing customer statements.
- Updating supplier and customer records, setting up new creditor and debtors account as and when needed.
- Organising delivery of goods, via liaising with warehouse company and inventory reconciliation at the end of the month.
- Cash Receipts and banking cheque payment received.
- Office administration and reception duties ensuring that the general office is presentable and in good order.
- Answering and transferring telephone calls.
- Ordering lunch for staff meeting as and when required.
- Liaising with cleaning company, building managers, and other parties in relation to office maintenance and safety.
- Company first aider.
- Organising fire drills and fire marshals.
- Organising staff events and other office related activities.
- Responsible to look after canteen requirement.
- Handling mailroom duties ensuring that post meter is updated and mails are posted on a daily basis.
- Booking flights for travelling managers and arranging hotels/accommodation.
- Placing stationery and supplies order ensuring sufficient supply in the cupboards and purchases are duly authorized and done within budget.
- Backing order to Philips for NHS sales order.
- Monthly supplier statement reconciliation.
- Liaising with other members of staff, suppliers and customers in resolving queries and providing information as per requirements.

Essential requirements of our Office & Accounts Administrator:

- 1 years' experience in a similar Office Administrator/Accounts Administrator role
- Excellent oral and written communication skills.
- Detail oriented and ability to work with a high degree of accuracy
- Highly organised with the ability to work under pressure and meet deadlines.
- Positive can do attitude
- Flexible and supportive team player
- Proactive self- starter capable of using initiative and working with limited supervision
- Ability to complete all tasks in the best interest of the company and maintain staff confidentiality
- Experience in general office administration duties
- Experience with Microsoft Office products
- Experience in transaction processing using an accounting software application preferable
