Working Hours: 9.00am to 5.00pm Monday to Friday

Salary: Between £17K & £21K

Do you have the knowledge, skills and experience to cover all administrative duties, to adequately cover holiday, sickness and absences????? Are you confident with management information systems data compliance, audit checking and solid administration? If so this is the job for you!!!!


Enrolment documentation

- To thoroughly audit all incoming electronic starts, to ensure they comply with the funding rules and do not trigger an employer payment unless eligible
- Work dynamically within the team to facilitate the remote enrolment process under the specified time frames, working in close communication with the assessors, the Business Development Team, and the Finance Team
- Input and audit learner and employer information onto the learner management system (Maytas) and record any audit actions
- Attach electronic files to Maytas and send out welcome letters
- Enter objectives onto Maytas to assist the assessors using the e-portfolio system
- Understand and be able to complete the learner registration process, using the appropriate Awarding Body, so that support can be offered where required

Completions & Claiming:

- Register the learner on ACE and work to hit KPI`s, updating the system with progress so that the framework certificates can be monitored and claimed within the 90 day deadline
- On alert from the report for a claim ensure we have correct documentation in situ to claim completions in month (month of PED)
- Distribute a weekly list of outstanding documents to wider organisation to drive activity through Maytas reporting

Collate electronic documents on ACE & Maytas in preparation for claim - PLTS

- ERR, Diploma, Technical Certificate, SOA, ACE declaration, Functional Skills (or valid GCSE certificates)
- Place a copy of all certificates in learners Maytas record
- Send out original certificates with an exit letter within 24 hours of receipt


- Following company procedure complete audits of learner electronic files outside of new enrolment audits
- Assist with the new process of inputting employer payment records into Maytas, and managing the funding risks involve.


- To have the necessary knowledge to run business reports - weekly, monthly and quarterly, providing cover when required
- To know reports required for the e-portfolio system (e-track)
- To have the working knowledge to run monthly SFA uploads (covering absence) and subsequently check for and correct any errors
- To check and work through the DSAT reports, maintaining central records for audit

Data Cleansing & Processing:

- Process early leavers, breaks in learning, and restarts, in line with the funding rules and the company`s processes
- Assist in running regular reports to ensure data is accurate at all times and adjust where necessary
- To help oversee any Apprenticeship Grant (AGE) Progression for Finance


- You will have strong administrative experience, ideally gained within an educational environment.
- You will have good working knowledge of the SFA Funding rules (especially Apprenticeships), or at least be familiar with the rulings and have the ability to quickly learn updates and changes
- You will have the ability to prioritise, plan and work to deadlines.
- You will have excellent interpersonal skills and be confident in dealing with external agencies on the telephone.
