To assist the department in regard to all aspects of the quoting and tendering process and to add additional administrative support to the function.

The person should have

a good knowledge of commercial vehicle specifications

has worked in a workshop receptionist environment

previous practical engineering/motor vehicle experience

knowledge of the transport industry

Knowledge of up to date vehicle legislation (important part of the role)

good communication skills with people at all levels

the ability to understand and interpret the customer requirements

Vehicle types covered a vast spectrum, ranging from small panel vans for roadside assistance to builder merchant drop sides with cranes and articulated vehicles carrying products of petroleum, gases, temperature control goods, dry freight and food.

In addition, the new specification and quotes administrator will be responsible for -

obtaining prices from manufacturer to enable quoting

obtaining prices from suppliers to include repair and maintenance arrangements

obtaining residual value guarantee quotes from manufacturers

Involved in the preparation of vehicle specifications

compilation of quotations and technical data summaries, (to include analytical weight exercises for axle overload, load distribution for chassis selection and capacity checks for refrigeration unit selection)

ensure that all correspondence is filled accordingly for audit purposes

build-up of the contract folders once the business is won

vehicles are ordered to the correct specification

the correct information is given to the accounts department (in regard to deposit invoices and standing orders)

Be able to communicate effectively by telephone and in person

Must be computer literate and have a sound working knowledge of excel

Duties may include -

Responsible for the collection and storage of a variety of compliance documents relating to our fleet of 5000+ vehicles. EG tacho, MOT, LOLER, tank tests

The use of online systems to index and store documents

Regular audits of documents and keys

Taxing vehicles and handling Penalty Charge Notices

Updating the system as necessary - i.e. due dates, mileages, and vehicle details

Scanning and indexing of documents against the relevant vehicles

Sending documents and keys as and when necessary to customers and/or Business Units

The use of Crystal reports to check for compliance

Liaising with depots, suppliers and customers to ensure vehicles remain compliant

This is a full time position of 40 hours per week, 8:30am to 5:30pm Monday to Friday
