Night Auditor/ Porter

This hotel resort is located in the heart of Rutland and it is proudly overlooking Rutland Water. A former hunting lodge, the hotel today offers a wide variety of hotel and timeshare accommodation, extensive spa and leisure facilities, restaurant and bar, comprehensive conference services and wedding packages.
To contribute to a 24 hour reception service. To provide a secure and safe environment to guests. To be able to communicate on a high level towards other members of staff or management and address any issues that may affect the smooth running of the hotel business.

Reporting directly to the Night Manager or in their absence The Reception Manager.
Outline of Key Responsibilities
To handover from the late shift receptionist to include any remaining arrivals, room availability and any complaints. To read the reception handover book and events folder and familiarize with the nights and the next day’s business.
To go through all guest registration cards and check for any newspapers or wake calls ordered and charge to the room accordingly on the hotel PMS Opera system. Once this information has been gathered to email the newsagent what is required for them to deliver next morning.
To perform the end of day banking which involves comparing the total figures of the reception business of the day via the PDQ print out slips and comparing them with the hotel computer system printout report. To be able to figure out any variance and act accordingly to rectify successfully.
To perform the Night audit for the next day’s business and inform the early shift receptionist of any no shows or problems so that he or she can rectify with immediate effect.
To print out the utility charges for lodges and apartment’s via the hotels energy man computer system and charge onto the hotels PMS Opera system and place into filling cabinet for guest upon check out.
To address any traces regarding due out bills and solve any issues that may occur. To print out the bills for guests checking out that day and file in the correspondent guest registration filling cabinet.
To file the bar and restaurant till receipt’s which will be brought down by a member of the food and beverage and file accordingly again into the guest registration filling cabinet. This is so any queries a guest may have upon check out the receptionist on duty can rectify.
To file the next day’s arrival registration card’s alphabetically into the reception arrival box.
To check in any Post Master accounts set up by the conference and events team or the accounts department and untick any no post on each account so that charges can be made.
Upon arrival of the newspapers check with the newspaper print out report that all papers have been received and deliver to rooms and lodges accordingly near the end of your shift.
To hand over any issues that may concern the early receptionist taking over from you such as complaints or maintenance problems so that they are aware and act accordingly.
If there are 2 members of staff on a shift one member of the team will carry out porter duties or any other tasks that may be required by the night manager or reception manager. These include full down of all building around the resort including leisure, restaurant and conference suites. All doors locked and windows checked. All lights switched off including toilets etc. Alarms set and patrol the outside areas.
Monitoring of the hotels CCTV system and address any issues that you may come across.
To hoover the restaurant and apply brasso to the door plates ready for breakfast for the next day. A member of the F&B team will do this if only one member of the night team is on duty.
Other duties may be asked of you by the duty manager on shift.
