We have a new exciting opportunity, not to be missed! At Plumpton College we are currently looking for an Events and Conferencing Assistant to come and join our team. The successful candidate will join us on a full time basis for a fixed term contract of 2 years, working 37.5 hours per week. You will receive a competitive salary of £17,475 - £19,005 per annum.

About the Events and Conferencing Assistant role

You will support the delivery, coordination and administration of events and functions across the College. This multi-aspect role primarily operates within a customer services capacity to ensure the best possible visitor experience.

Duties and Responsibilities of our Events and Conferencing Assistant will include but are not limited to;

- Assist with the setting up, organising and running of meetings, conferences and events. Depending on the nature of the event this will be done individually or as part of a team.

- Organise and serve refreshments for the above.

- Undertake manual handling tasks in relation to the setting up of rooms for events.

- Assist in the control of parking and onsite traffic to support events.

- Deal with conferencing and reception enquiries through a range of communication means in a professional, courteous and customer-focussed manner. This will involve signposting to relevant staff and providing information to end users.

- Administer a system of bookings and the associated invoicing. This will involve the provision of clear management information to the Events and Conferencing Manager to allow proper analysis of booking capacities and forecasted income and expenditure.

- Ensure all visitors are signed in appropriately and given visitor badges.

- Develop and maintain effective internal and external relationships to aid the smooth delivery of events.

- Utilise a Client Relationship Management system as a means of identifying and tracking the relationships with key stakeholders.

- Ensure that the College diary is kept up to date with event and conferencing information. As part of this to ensure that the College diary is used as a reference point when considering future bookings and the associated impact upon cross college services.

- Ensure that visitor information is accurate and reflects the main College branding. This includes the provision of current marketing information as directed by the Marketing Manager and the production of event specific information.

- Undertake Fire Warden duties for the events and conferencing facilities - this includes the weekly testing of the fire alarm, associated drills and the recording of such activity on an inspection ready basis.

- Actively participate in marketing and promotional activities at the request of the line manager.
