Part Time Legal Secretary

Location: Southend on Sea, Essex

Reporting to: In-house Solicitor and Legal Executive

Salary: £20,000 - £21,000 pro rata

Hours: 9am - 5:30pm, 3 days per week (Friday is a must)

Type: Permanent, part time

Main Purpose of Job:

  • To provide assistance to Legal Executive (litigation) and an in-house solicitor (landlord and tenant law).

  • To include audio typing, transposing manuscript amendments, copy typing, opening files, preparing files for completion, maintaining diaries and dealing with post-completion correspondence and general case management.

  • To provide assistance to other teams (including property management and asset teams)

Principal Accountabilities:

  • Typing and amending documents

  • Opening new files, diarising dates and preparing standard letters

  • Preparing files for completion including completion statements and standard letters

  • Case management and general administration

  • Providing administrative assistance to other teams


  • To provide secretarial assistance to a legal exec and an in-house solicitor. To reduce the amount of time spent by them with the general administration of files.

  • Dealing with digital dictation in the running of cases and generally be of administrative support to those members of the Legal team.

  • In opening new files ensuring that all documents are available for team members.

  • Diarising of essential deadlines, maintain diaries and ensuring Court Directions and dealt with.

  • To ensure that files are up to date and accurately reflect the case itself.

  • Preparing engrossed documents, preparing trial bundles etc.

  • To assist in completion and post-completion matters including the production of invoices and standard letters and ensuring the scanned documents are emailed to Portfolio managers so that database can be updated

  • To provide administrative and secretarial assistance to other teams including Property Management and Asset teams

Essential Knowledge & Skills:

  • Legal secretarial background - relevant secretarial qualification (CILEx /City & Guilds/ Diploma for Legal Secretaries)

  • Audio typist

  • Excellent knowledge of Word, Excel and Outlook

  • Thoroughness and attention to detail

  • Polite phone manner
