Conference Producer

Business Dialogue is a very small conferencing company based in Golders Green North London focused on developing seed concept to execution of niche-quality driven conferences. We are interested in hearing from a conference producer of graduate calibre to write and develop conference programs, master class workshops and seminars.

Graduate Producer Package:

Annual Salary: £18,000

Commission: £10,000 to £12,000

Total Earning for the year: £28,000 to £30,000

Annual Holidays: 20

Office Working Hours: Mon to Fri Start Date: Immediate


Confirm 14 End User Conference Speakers and 2 Moderators/Workshop Leaders Provide industry sectors with B2B information through the forum of conferences

Develop a breadth of understanding within specific industry engaging both strategic and commercial challenges through speaking to industry representatives, reading journals and press releases as well as web based research

Develop ideas and integrate quality into the two days conference Develop master class workshops and integrate into the 2 days conference Pass leads/ideas to telesales, sponsorship and exhibition and marketing

To develop full or half a day master class workshops or training days

Key Tasks and Activities:

Conduct research, write and produce a minimum of 7 business conferences annually

Produce each conference to the highest quality within 30 working days, working to specifications outlined per event and this may vary and adhering to the requirements of production schedule

Produce a minimum of two workshops dedicated to critical and weak points within the niche and in association with each conference, detailing a subject introduced in the main conference. A minimum of 16 workshops as part of conferences must be produced annually.

To set up and carry through at least two meetings with industry personnel per event

Invite a minimum of 80 or more potential speakers per conference - each receiving a call/research call and must be relevant and have received written details of the conference

Ensure data is requested and received from all speakers and workshop leaders and added to the company database on a daily basis

Secure 16 speakers including 2 moderator with speaker form confirmation per speaker before the end of the 30 day production cycle

Ensuring deadlines are achieved and production targets achieved and exceeded Engage marketing and sponsorship and fully inform of conference progress

Provide the team with production event brief and instruct Lead Generation with direction for research Maximize event profitability: no speaker fees, and heavily focused on reduced speaker expenses

Work with Sponsorship and passing on leads and directing sponsorship with potential sponsors and finally following up any leads passed on

Work with lead gen and guesting and where necessary provide research direction into additional leads

Oversee marketing ensure all marketing material relevant to your conferences, provide direction on how best to secure delegates, recommend associations, societies and journals suitable for external marketing activity.

Engage new ideas and initiatives to add further conference value where possible

Complete all aspects of conference administration, confirmation of expense forms, guest place forms and handover, accurately and subject to deadlines

Ensure conference information is displayed on web site and text and material are correct and up to date

Ensure replacement of any fall-out or cancelled speakers are found for existing conference program. While all involved colleagues are made aware of changes - that is Marketing, telesales, sponsorship

To contribute to final delegate list - guesting of end users - help, assist and direct

Attend the conferences, bringing workshops and future events to the attention of speakers and delegates. And manage and direct all tasks and activities on site.

Network with speakers, end user delegates for following year’s conference and to get new ideas for conference and or other related conference, feedback and secure speakers for future events

Key Requirements

You have one year or more experience in production/event management and interested in accepting complete responsibility for a full conference-portfolio.

The ability to assimilate information quickly and effectively Evidence of writing reports, documents or programs

Strong writing skills and ability to develop relationships with speakers A tenacious and enthusiastic approach

Good time management capabilities and a can do approach a commercial outlook on industry

The ability to deal with senior ranking directors and public sector individuals on a one to one basis whether face to face or by telephone

Travel to Europe and manage the conference on site Excellent one to one communication and team skills Knowledge of Microsoft Word, Excel and Outlook.
