My client is a market leading expert in the latest research, technology and manufacturing methods of medical substances, who continuously adapt and innovate in order to meet ever changing product demands.

Responsible for proactive and timely Procurement support service to stakeholders and strive to enhance the efficiency and effectiveness of Procurement services against defined KPI’s.

Accountable for improving the following areas against set KPI’s.

• Unconfirmed purchase order lines
• Purchase order lines past due date
• All outstanding purchase orders
• Requisition placement
• Provide continuous improvement recommendations on current Procurement processes

Post Holder will be the main contact point for the department and is expected to take responsibility for any day to day issues.

Key Duties and Responsibilities

• To gain control of all purchase orders with third party suppliers and improve the flow of communication between the suppliers and stakeholders.
• Reduce the volume of unconfirmed and orders beyond the confirmed status dates to set KPI’s.
• Provide up to date status reports on all outstanding purchases orders.
• Update IFS and stakeholders with status of outstanding and critical purchase orders on a daily basis.
• React quickly and efficiently to out of stock situations, proactively review processes to prevent future stock out situations.
• Expedite all purchase orders using the IFS ERP System.
• Review and raise requisition in IFS ERP system to set service levels, flag issues to relevant buyer or category managers.
• Ensure Procurement procedures are adhered to in line with company policy and other relevant Procedures to ensure compliance to policy and GMP.
• Provide specialised knowledge and advice of the Procurement Function to IFS Requisition’s and Authorisers.
• Ability to work as part of a team and under own initiative, taking ownership and responsibility of your workload

• Administration background with the ability to work under pressure and to meet tight deadlines
• Deliver first class customer service to stakeholders and ensure enquiries are completed professionally and efficiently.
• Build and maintain strong, positive and trusting relationships with all key stakeholders and suppliers.
• Liaise with Accounts Payable on a day to day basis regarding pricing and invoice queries.
• Assist with the Training of new IFS Requisitioners on the Procurement Module
• Maintain Supplier Records and Profiles on the IFS System and liaise with Finance and Payroll on Bank Detail issues. Manage the Supplier Database by ensuring that only Pre- Approved Suppliers are entered onto the system
• Support Procurement colleagues as and when required.

• Proven administration experience and part or full CIPS qualification
• Can demonstrate an ability to think creatively to solve and complex data and challenges
• Manipulation of data to improve business process and delivery of role
• Strong analytical mind
• Ability to work on their own without supervision
• Excellent, Excel, Word and Powerpoint skills
• 1-2 years’ experience in a procurement role
• Track record of stakeholder management and engagement
