My client is looking for a bright, customer service focused individual that would like a career in facilities. The ideal candidate will have some experience of facilities / building management. My client is also happy to provide further professional develpment.

The Role:-

The role of the Facilities Coordinator is extremely varied and is vital to ensure that each location runs efficiently on a day to day basis. A cool head under pressure and a logical step by step approach combined with good problem solving skills will ensure a happy and production relationship with clients and teams.

Responsible for 4 sites - A car driver would be best but candidates relying on public transport also welcome to apply. Sites based in M & BB postcodes


General • Resolving and actioning issues escalated from the on-site teams through the established work request system. • Ensuring tasks are investigated and actioned promptly and as appropriate allocating works to the correct contractor to ensure they are resolved in a professional and timely manner. • Ensuring regular works with outside contractors such as gardeners, cleaning contractors, air conditioning contractors etc are diarized and checking works on completion. • When required, ensuring works that can affect the smooth running of the building are discussed with the on-site teams and clients are made aware of any possible disruption. • Adhering to a regular (at least ½ day per week) schedule of visiting and walking each location with the on-site team. • Being responsible for both internal and external building appearance and overall standards. • Working with suppliers to ensure equipment, general materials, sundry items and services are procured from external sources at the best possible price and value for money. • Regularly discussing planned actions and works at each location with the Regional Estates Manager. • Working with the on-site teams on planning and actioning general dilapidations when clients exit. • In conjunction with the Regional Estates Manager and the General Manager, planning, costing and actioning any works or alterations to offices, or common areas required by the company or requested from the clients and keeping a close eye on the progress of works ensuring they are carried out correctly and efficiently. • Checking off invoices and passing to Regional Estates Manager promptly for authorisation.

• Keeping aware of any changes in regulations and if required discussing additional training requirements with Regional Estates Manager.

Contractors • Ensure the contractor signing in procedure is being adhered to along with all correct paperwork in place. Ensuring risk assessments and method statements are available for review. • Ensuring contractors insurance details are up to date and scanned into the computer system and expiry dates are diarized. • Ensuring all contractor’s details are kept up to date and all communication is logged on Centre Charge. • If required, discussing performance problems of contractors with Regional Estates Manager.

Health & Safety & Testing • Ensuring all H&S and Fire testing is carried out correctly and in a timely manner and all results are documented and all reports are scanned onto the computer system. • In conjunction with the Regional Estates Manager, reviewing all H&S and Fire testing documentation on a regular basis (monthly) for each location and as appropriate ensuring any required action plan is completed in a timely manner. • Ensuring the relevant training required for on-site staff is up to date and expiry dates are diarized. • Ensuring all equipment meets legal requirements and that all equipment is maintained in accordance with best practices. • Ensuring all building safety systems meet current safety standards, and that equipment is maintained in accordance with regulatory standards. • Ensuring all cleaning products used on site have the correct COSHH documentation in place and available for inspection by staff at any time. • Ensuring PAT testing schedules are kept up to date for company equipment and working with the on-site teams to ensure that clients PAT testing is carried out or certificates are received and scanned for clients completing their own testing. • Ensuring Employee Health & Safety posters are displayed on each site and annual update paperwork is issued to all teams. • Carrying out regular safety audits of all buildings, risers, lift motor rooms, roof areas etc and ensure all routes are clear from obstructions. • Ensuring that all H&S documentation that clients request for their own files is emailed and diarized and actioned.
