Job Purpose:

The role of the Commercial Assistant is to support the Commercial Manager and team to deliver improved commercial performance for the Connections Projects team.This includes:

the financial review of completed ‘Projects’ and compliance with Financial processes and Regulatory reporting requirements prior to the jobs being submitted for Regulatory reporting.
providing commercial support to the Design and Delivery teams who are accountable for delivering Connections ‘Projects’ in respect of reporting information and management of processes and data; and
Supporting the implementation and operation of the new ways of working that the Commercial Capabilities project has identified
The Commercial Team has already delivered significant improvements in Commercial and Regulatory reporting performance and consistency of commercial process within Connections Projects. It also interfaces with Network Operations as the delivery provider of Connections Projects and is now trying to assist with improving the commercial focus and awareness of those that have financial accountability. Be part of a team that is making a difference and improving the Commercial focus and performance of the business.

Dimensions:

• Use SAP to report visibility of Project Costs

• Use SAP CP1 & CRM to review costs and ensure compliant Regulatory cost reporting

• Use of the Job Costing Tool (JCT)

• Respond to project costing queries from Customers and Designers

• Provide inputs for Financial Performance and Regulatory Reporting

• Check completed work costs and details and comply with Project Closure process

Principal Accountabilities:

Financial

• Manage job closure process

• Respond to financial queries related to job costs

• Raise Credit notes and process customer refunds

• Manage Variation process

• Manage level of parked and blocked invoices and Credit Notes

Customer

• Provide Refunds to Customers within prompt timescales

Process

• Request invoices via Billing Team to Customers where required

• Technically Close Projects on SAP

• Produce project cost information, when requested, from SAP CP1, CRM or JCT

People

• Demonstrate team-work and proactive involvement

• Active participation in IPR sessions and 1:2:1 meetings with your line manager.

• Attendance at monthly face 2 face briefings

Knowledge, Skills, Qualifications & Experience

• Very good level PC literacy, with the ability to learn and use a variety of systems with fast and accurate keyboard skills

• In depth knowledge and experience of analysing data and producing reports and graphs in Excel would be a distinct advantage, but can be developed in role.

• Ability to work in a pressured environment as part of a highly focused team

• Team working – The drive and ability to work co-operatively with others to achieve shared goals and optimise the contribution of all members of the team.

• Initiative - A bias for action and proactive problem resolution is necessary, not waiting to be given tasks to complete

• Self-motivated, with a strong drive to succeed and continuously improve

• Ability to build good working relationships with other staff and other teams within UK Power Networks

• Attention to detail to ensure accuracy of data is essential

• A basic understanding of the network and the various types of jobs undertaken would be an advantage.
