Finance & Registration Assistant - Global Marketing Agency

We are representing an exciting independent, creatively driven full service experience marketing agency. For over one hundred years, they've been partnering with the world's top brands to deliver creative solutions that make a real difference.

The ideal candidate will be very analytical, numbers literate and have a strong attention to detail. The person will need to understand importance of good processes and demonstrate being able to put them into effect. Additionally, we are looking for someone who is confident with using a variety of different software systems. It's worth mentioning that all training for these will be given at the beginning of the assignment.

This is working with the 'Web Based Events Services' department, who are always the first impression that our clients get when talking to the company we are representing, so this role is of the utmost importance. This role will be a conduit between the 'WBES' team and the finance team. The finance side shall mostly involve the looking after the delegates, reconciling their receipts, and accounting each component of funds.

Essential Responsibilities:

- Setting up of payment processors as required, including Amex, Paymentech and PayPal.
- Management of finance element of platforms used to collect delegate funds at events, including - but not limited to - RainFocus, Lanyon, Cvent, Bizzabo.
- Reporting and reconciling value of receipts to client.
- Reconciliation of bank accounts used to collect funds.
- Downloading invoices and VAT reports from registration portals.
- Assisting the Registration team - onsite at events - in the collection of funds.
- Charging of delegate credit cards.
- Reconciliation of VAT inherent in collected funds, including multi-territory.
- Liaising directly with delegates in query resolution.
- Providing consultant type role as a "Subject Matter Expert' for others in the Company.
- Assisting Finance Manager in other ad hoc duties such as timesheet input, issuing freelancer contracts.

Scope of Responsibility:

- To ensure that all client's needs are met while maintaining the professional standards that the client has set.
- Must respect client privacy standards as it is sometimes necessary to work on multiple events with different clients in a competitive market.
- Knows the formal and informal departmental goals, standards, policies and procedures which may include some familiarity of other departments within the company.

It is most desirable that you are are part qualified/studying towards ACCA/ACA/CIMA, and the ability to speak another language would be brilliant, as would experience in the events/marketing sector.
