Information Governance Officer

MAIN OBJECTIVE OF THE POST

To support the Head of Information Governance in managing all aspects of Information Governance including (but not limited to): compliance with GDPR, Subject Access Requests and Information Sharing Requests.

Key Responsibilities

1. Receive and prioritise requests for records and the disclosure of information

2. Deal with telephone, post and email enquiries for information and records under the Data Protection Act / General Data Protection Regulation (GDPR), Freedom of Information Act and the Records Management Policy

3. Carry out information gathering activities by issuing written requests for the relevant information and records

4. Prepare information for release and respond to requests in accordance with statutory and local policy deadlines. (This includes the preparation for disclosure of sensitive and confidential information in accordance with the Data Protection Act 1998 / GDPR. The subject matter can sometimes be distressing)

5. Organise and co-ordinate the efficient, safe and secure intake, transfer and destruction of records

6. Act as a point of contact to advise on the protection and accessibility of personal data across The business to ensure compliance with Data Protection and General Data Protection Regulations (GDPR)

7. Provide advice on the development of systems and processes to ensure DPA Compliance assisting with Privacy Impact Assessments when required.

8. Write, co-ordinate, promulgates and review Information Sharing Agreements and Data Processing Agreements on behalf of The business to ensure they are legally compliant.

9. Design and delivery classroom based training to all staff

10. Provide advice and guidance to all customers of the service.

11. Provide general clerical and administrative support to the Information Governance Team, including dealing with incoming and outgoing correspondence, filing, scanning, photocopying and typing.

GENERAL

1. To maintain confidentiality and observe data protection and associated guidelines where appropriate

2. Provide specialist advice and knowledge in relation to Data Protection/ GDPR, Information Sharing and Records Management

3. Respond to Subject Access Requests in a timely manner ensuring compliance with GDPR

4. Research/retrieve information from systems across the business, liaise with departments and points of contact in order to collate information for the Subject Access process

5. Ensure new members of staff have completed the data protection e-learning process and maintain records to confirm compliance

6. Support the Head of Information Governance in providing advice and assistance in wider DP and Information Sharing matters

7. Participate in meetings, providing general advice on Data Protection

8. Write, implement and disseminate Data Protection and Information Sharing policies and procedures and embed them across The business

9. Assist in developing and delivery of training to all staff across The business

10. To promote and adhere to equality of opportunity, anti-discrimination and anti-oppressive practices

11. To co-operate in complying with relevant health and safety legislation, policies and procedures in the performance of the duties of the post

12. To ensure compliance with the business's policies and procedures at all times

13. To be proactive in developing and learning new skills.
