Job Role: Compliance Co-ordinator

Location: Morley, Leeds

Salary: £21,000 - £23,000 DOE

Hours: 8am - 5pm 40 Hours Per Week

Job Purpose:

To manage customer calls and assign tasks to meet customer's SLA requirements, to upload compliance data to E-Log book systems consistently and report on status weekly to customer, also to evaluate services and service report sheets by supply partners from pre-planned maintenance services. To manage compliance to maintain a high 100% status, and ensure that my client are getting true VFM from vendors

Key Tasks:

CAFM Systems & Call Handling:

To assign jobs via CAFM system to engineering resources and manage resources to close jobs within the SLAEnsure that all jobs are 'assigned'Any jobs assigned have time inputs against themAny fails have legitimate reasons given for failed SLAsProfessional call handling manner to be displayed at all times (friendly & approachable)When handling customer calls, to understand and correctly interpret customers' requirements

E-log Books:

Ensure that the compliance tracker is constantly updated on the R drive to reflect the current compliance status of the contractChase up engineers and suppliers for service data and upload to E-Log book systems dailyEnsure that the specific requirements are met for file naming formats for uploaded filesEnsure that reasons for missed services are noted on the compliance tracker and where the reason falls under remit, to escalate to Supervisor or Contract ManagerCompliance tracker to be sent to customers weekly displaying most recent uploaded compliance records

Procurement & Service Evaluation:

Reviewing vendors service data and assessing if works completed reflect the amount and works completed as per description on supplier's invoice, and also match the supplied quotation and CBRE POWhere vendors have not rendered the full service, admin to calculate the total accrued credit amount and update the Contract Manager on any credits due from suppliers monthlyCustomer feedback completed via the Ariba systemsConstantly reviewing supply chains to supply information to team on which supply partners to use based on suitability and feedback from internal colleaguesBetter buying on remedial quotations - when quotations are submitted, admin to benchmark quotations against other vendors in similar markets to ensure best VFM is achieved and sheet updated on R drive

Compliance C365:

Ensure 100% compliance is maintained throughout the monthPlan and book in compliance/PPM tasks in line with Contractual specificationHold weekly internal compliance call to highlight any month risksAssist client in ensuring C365 is accurate and up to dateReview and mange actions extracted from compliance tasks, obtain quotations for these remedial actions and add to our quotation portal

Decision Making/Budgetary Control:

Reporting to and accountable to the technical helpdesk managerFinancial Authority Level £500.00Decision making must be in line with facilitating completion of the 'key tasks' outlined above and any objectives set by the Contract Manager

Success Measures:

Customer enquiries handled in timely mannerWork issued by CAFM system in a timely manner to resources and works completedOther key functions for the business and needs of the customer supported
