Job Background:

The Luton office is significantly involved in works associated with the London Luton airport expansion and Luton Borough Council major projects team. These relationships have secured substantial works over the next three to five years. This role is required to ensure Pell Frischmann deliver an excellent customer journey, ensuring that all quality procedures are followed, whilst accurately reporting financials for scheme work. This will lead to additional work from these key clients.

The Role:
The Project Administrator will support the Luton Office and Director to make the best use of their time by dealing with project related administrative tasks, such as;
• Managing complex and ever changing diaries
• Liaise with clients & staff by taking calls, dealing with e-mails, letters and post
• Making sure the Director is updated throughout the day
• Coordinate weekly Management meetings & monthly sector calls
• Prepare agendas and take minutes
• Follow up on actions from meetings ensuring all team meet deadlines
• Research and assemble information for bids and presentations material when needed
• General Business Development administration (PQQ, datasheet management, CV management)
• Prepare and administrate purchase orders
• Assist with financial control of scheme work
• Prepare progress reports for stakeholder, Director and client.
• Cover for Office Manager as required

Knowledge & Experience:

• Demonstrable experience in a Senior Administrative role requiring tact, judgement and discretion
• Experienced in working in a professional working environment and liaising with senior individuals
• Experienced in working to deadlines as part of carrying out role
• Previous background in Engineering is useful but not a must.

Key Skills required:

• Strong communication and interpersonal skills
• Excellent organisation skills and ability to meet regular deadlines
• Strong attention to detail and quality approach
• Flexible and hands on approach; the role may require additional hours as and when required
• Able to work on own initiative and be pro-active
• Excellent skills in MS Outlook, Word, PowerPoint and Excel
• Have experience and knowledge of the Civil Engineering sector.
• Have experience and knowledge of client relationship management
