A leading global insurance business has an urgent (6 - 12 months) fixed term contarct opportunity for a PA to provide support to two heads of department within IT / Security.

The role will be responsible for providing the following.

Administrative Support

Manages correspondence on behalf of manager(s) e.g. Diary, Emails, post, telephone in a timely manner, prioritising & cascading/escalating as appropriate within own function & without supervision. Ensuring managers are on time for each meeting and have the relevant documentation ahead of time.

Organise business travel & event management for manager(s) e.g. conferences, Roadshows & Third Party hostings

Manages general expenses with regard to travel, event management & office sundries

Transcription & production of written correspondence as directed. Preparation of complex correspondence for approval.

Document management e.g. Filing both electronically & hard copy as appropriate

Co-ordination and support of Management meetings and governance boards ensuring agendas and papers are provided to deadlines accurate minutes are taken where required

Arranging meetings to ensure all rooms are booked and required technology is set up to ensure meeting runs smoothly – ie conference call numbers, video conference facilities

Ability to prioritisation work to ensure key deadlines met. Also prioritising of diaries for managers

Relationship Management

Builds effective partnership relationships with Functional management teams, customers, third parties

Good customer service focus

Essential Skills / Experience

High standard of general education

4 years experience of similar roles or at least 2 years experience operating PA services to Senior Board level managers

Excellent communication skills both verbal & written,

Proven record of networking capabilities across a diverse organisation

Expert knowledge of admin software e.g. Word, PowerPoint, Excel, Outlook & other appropriate in-house systems

Strong prioritisation & organisation skills

High levels of confidentiality

Good influencing skills

Flexibility, adaptability & able to multi-task in a fast-paced commercial environment
