Events Manager

Quest Employment are currently seeking an experienced Events Manager for a bespoke catering company based in the Banbury area. The successful candidate will have worked within a similar hospitality role planning large functions and events as well as possessing strong leaderships skills.

Main duties will include:

Office Duties

* Communicate with suppliers
* Consider potential unforeseen circumstances which may occur on an event – time management, team sickness etc.
* Main point of contact and liaison with all parties day-to-day
* Managing supplier relationships
* Managing operational and administrative functions to ensure specific events are delivered efficiently - Create processes as necessary
* Providing leadership, motivation, direction and support to your team
* Monitoring market trends and Competitor analysis
* Carrying out consumer research / market intelligence
* Writing and presenting reports to clients and senior management as required
* Ensuring insurance, legal, health and safety obligations are adhered to, in liaison with the person responsible for H&S
* Post-event evaluation and reports and verbal feedback
* Setting, communicating and maintaining timelines and priorities on every event
* Agreeing to, and negotiating pricing in line with pricing structure

Business Development

* Producing detailed proposals (client specific) within a proposed budget outline
* Chase information from clients if required
* Using contacts to generate new business
* Attending meetings / open days with clients

Account Management

* Edit documentation & briefs with immediate effect if there are any updates from client, and inform relevant others
* Venue guardian - Client Relations
* Managing a portfolio of accounts
* Engaging in project management duties
* Communicating, maintaining and developing client relationships
* Travelling to on-site inspections and project managing events
* Ensuring excellent customer service and quality delivery
* Coordinating venue management, caterers, stand designers, contractors and equipment hire;
* On site client management and Function Brief

Event Management

* On the day of an event, double check Top Table order, staffing, confirmed menu, extra items to bring, third party supplier info, exact timings and logistics & Pack-up lists
* Predetermine logistics such as transport, parking, site entrances
* Delegate relevant prep tasks to core team e.g. ironing uniform, cleaning cutlery
* Keep venue managers up to date with any changes from client, and correlate information
* Organising events, photo shoots and launch parties and other promotional activities
* Producing detailed proposals for events (e.g. Timelines, venues, suppliers, legal obligations, staffing and budgets);
* Securing and booking a suitable function brief or location on an Ad-Hoc basis
* Coordinating staffing requirements and staff briefings; recruiting as necessary based on work load
* Coordinating suppliers, handling client queries and troubleshooting on the day of the event to ensure that all runs smoothly;
* Overseeing the dismantling and removal of the event and clearing the venue efficiently;
* Delivering events on time, within budget, that meet (and hopefully exceed)expectations.
* Budget control in liaison with client
* Being responsible for all project budgets from start to finish.
* planning and scheduling "Tastings" in line with clients requirements

Employment Type- Permanent

Salary-£30,000 PA
