About Coachwise

Established in 1989, Coachwise Ltd is the trading arm of the charitable organisation UK Coaching.Its founding purpose was to fulfil a need to promote and distribute educational materials for coaches.

Originally, Coachwise distributed publications via a mail order catalogue and then, started to publish too.The company grew steadily as Coachwise diversified into the school sports market.

Meanwhile, Coachwise started to provide fulfilment and administration services for sports development and education programmes and in 2000, Coachwise set up the regulated awarding body, 1st4sport Qualifications.

Coachwise has grown from a small but loyal team of three employees to the thriving, sustainable, modern business it is today, with a workforce that is 70-strong.Any profit Coachwise has made on its journey has been gift-aided back to the parent charitable organisation, UK Coaching, to support the development of coaching in the UK.

Today, our company facilitates an abundance of learning and support opportunities – both online and face-to-face - for people who work and volunteer in the sport and physical activity sector.

Our purpose remains broadly the same: to support as many people as possible to help others enrich their lives through physical activity.But we can’t do this alone.This is why we work in partnership with over 40 national organisations to make this happen.

Examples of our work currently include the following:

·Facilitating vital child safeguarding training - developed by UK Coaching and the NSPCC - for sports coaches (more than 400,000 to date) across the UK.This in turn has generated over £1million in royalties for the NSPCC so far.

·Producing learning resources on behalf of organisations such as the ECB for cricket coaches and the British Horseracing Authority (BHA) to support stable staff and jockeys.

·Producing regular membership magazines for England Handball, UK Coaching and Table Tennis England.

·Managing ConnectedCoaches, the free, cross-sport, online community for sports coaches.

·Developing and supporting digital learning services such as the PE Core Activities video footage, the Discovering Coaching online course, the UK Coaching Learning Hub and the Safe Practice online service – for teachers on-the-go.

·Operating The Register of Exercise Professionals (REPs), a public register that provides a system of regulation for instructors and trainers, protecting the public and bringing credibility to the sector. Membership also includes insurance for exercise professionals.

·Qualifying over 70,000 learners per year.


Job Description

Responsible to:Finance Director

Main Purpose of Job:To oversee and carry out a range of Credit Control activities for Coachwise Ltd and the UK Coaching Group

Key Responsibilities:

  • Dealing with customers by email, telephone and letter, sending copy statements of accounts, updating the contacts database communications log, sending out copy invoices and dealing with general enquires.
  • Dealing with Credit control issues, contacting customers by email, telephone and letter, sending monthly statements of accounts, updating the contacts database communications log, sending out copy invoices and dealing with general enquiries.
  • Providing first point of contact to release orders on hold in the ERP software due to credit limits
  • Actively manage all late overdue invoices, escalating to the appropriate NGB or department as appropriate.
  • Actively manage and resolve all credit balances on the Aged Debtors List
  • Processing daily bank account transfers and reconciliations using Bankline, cash flow statement updates using spreadsheets.
  • Delivering excellent customer service to both internal and external clients by effectively dealing with financial enquiries by telephone, email and letter, offering general administrative support and cover within the Finance Team as and where required.
  • Following, promoting and implementing the Coachwise policies for the equal treatment of all employees, applicants and customers.
  • Support and training to others, where necessary.

Person Specification

The person specification describes the knowledge, skills, aptitudes, experience and qualifications that Coachwise deems necessary for successful performance in the job role.

Skills/Knowledge

Essential:

·An excellent knowledge of Microsoft Office (Excel, Word, Outlook), with a good knowledge of spreadsheet work.

·A good level of experience of working within a finance department.

·2 years’ experience in a credit control position

·A broad knowledge of basic accounts packages, although training on our system will be provided if required.

·The ability to maintain accuracy under pressure.

·Excellent time management skills to enable prioritising different tasks and projects in order to maintain month end deadlines.

·The ability to work using own initiative in order to solve problems.

·The ability to work as part of a team.

·Good communication skills, both oral and written.

Desirable:

·Studying towards Chartered Institute of Credit Management, AAT or another accounting qualification.


Salary and Benefits

The starting salary for the position is Circa £20,000 per annum, depending upon experience and qualifications.

The normal working week is a five day week of 37 hours excluding lunch breaks.

Coachwise offers 25 days annual leave (rising to 30 after five years’ service and 32 after seven years’ service), plus 9 days public holidays.

All members of the Coachwise permanent staff receive life assurance cover, which is twice their annual salary.

Coachwise enhances Statutory Sick Pay (SSP) and Statutory Maternity Pay (SMP) with its own Occupational Schemes.

New members of staff will become eligible to join the company pension scheme during the first month of their employment.Anyone not joining at this time will be automatically enrolled into the scheme designated for auto-enrolment purposes (subject to eligibility).

Coachwise operates a healthcare benefits scheme for members of staff who have completed their six month probationary period.

Coachwise operates a Childcare Voucher scheme, which can be used by anyone who is currently paying for childcare.The vouchers can be used in conjunction with any Ofsted registered carer.

Members of staff who have completed their six month probationary period are eligible to benefit from reduced gym membership through GymFlex.The scheme enables staff to benefit from savings at 1,500 health clubs throughout the UK.

Buying and Selling of annual leave allows staff, who have completed their six month probationary period, to buy or sell a maximum of five days in any one annual leave year (pro rata for part time staff).

Coachwise runs a cycle to work scheme, which is applicable on the successful completion of the six month probationary period.

Coachwise is dedicated to an on-going staff training scheme.
