JOB TITLE: Administrator
REPORTING TO: Home Manager
JOB PURPOSE: To be responsible for the smooth running of the administration of the Care Centre.

Good numerical and word processing skills
Knowledge/ experience of MS word and MS Excel
Good communication and organisational skills
Friendly, confident, well presented and customer focused
Professional telephone manner
Genuine interest in working within a caring environment
An appreciation for the need of confidentiality
Satisfactory CRB check


Experience and Knowledge of MS Outlook
Previous experience of accounting computer packages
Previous experience of book keeping / administration

Ability to work on own initiative


Maintain accurate and complete financial records of the Care Centre in line with the Company policies and procedures, using the computer and manual systems.
Prepare and issue regular Management Reports within the timescale issued.
Process receipts of monies against Clients accounts and maintain the records.
Prepare and submit relevant Client Financial information to Head Office to ensure that invoices to Clients, Local Authorities are produced accurately and promptly. Liaise with and assist your Regional Administrator to resolve any outstanding issues.
Arrange the accurate processing of the Payroll. Maintain Staff attendance records.
Maintain complete files for Clients and Staff Members in line with the Company’s policies and procedures.
Provide administration/ secretarial support to the Home Manager e.g. typing, filing, dealing with correspondence within given timescales.
Operate office equipment such as fax, photocopier and computer as required.
Answer the telephone, respond to enquiries from Clients and Visitors and redirect enquiries in a friendly and efficient manner.
Maintain stationary supplies.
Order and maintain records of Staff Member’s uniforms.


Participate in Staff and Client meetings as and when required.


Actively market the Care Centre and promote a positive personal/ professional profile within the local community, ensuring the good reputation of the Care Centre at all times.
Show visitors around the Care Centre when required.
Prepare and display information, leaflets and posters, send out brochures as and when required.

Training & Development

Attend mandatory training day/ courses on or off site as and when required.
Maintain professional knowledge and competence.

Health & Safety

Report immediately to the Home Manager or Person in Charge, any illness or infectious nature or accident incurred by a Client, colleague, self or another.
Understand and ensure the implementation of the Care Centres Health and Safety policy, and emergency fire procedures.
Report to the Home Manager or the Handyperson any faulty appliances, damaged furniture, equipment or any potential hazard.
Promote safe working practice in the Care Centre.


Ensure that all information of a confidential nature gained in the course of duty is not divulged to third parties.
Notify the Home Manager, or Person in Charge as soon as possible of your inability to work, and also on your return to work from all periods of absence.
Ensure the security of the Care Centre is maintained at all times.
Adhere to all Company policies and procedures within the defined timescales.
Ensure all equipment is clean and well maintained.
Carry out any other tasks that may be reasonably assigned to you.
