Payroll Assistant: Job overview
This role is responsible for HR and Payroll administration, including all departmental filing and upkeep of staff files. It supports all aspects of the Payroll function, ensuring compliance with the latest relevant legislation, statutory filing deadlines, internal management reporting requirements, liaising with HMRC, Finance, Operations and HR functions as appropriate and maintenance of all legal HR internal audits
Payroll Assistant: Key responsibilitiesPayroll admin·Understand the HMRC rules surrounding payroll processing and run payroll in absence of the Payroll Manager

·Ensure that all payroll-related information, including increases and deductions is calculated, recorded and processed accurately and promptly in accordance with the relevant legislation / guidelines

·Respond professionally to queries from staff at all levels, communicating clearly and effectively, and providing high quality advice on payroll-related matters

·Deal with payroll, pension and benefit queries

·Keep up to date with changes in legislation affecting payroll, as well as HMRC rules and processes

·Liaise with Finance and other stakeholders on an ongoing basis as required, to facilitate provision of a seamless service

·Manage and maintain high levels of service, while maintaining strict confidentiality on all salary-related matters

·Assist the Payroll Manager during payroll processing weeks as needed

·Run the complete Christmas Temps payroll

·Check that all terminals are working on a daily basis

·Check all timesheets for the previous week are authorized on Tuesday each week and chase the managers accordingly

·Run TA21 reports and check and input the necessary data onto Chris21

·Support store management teams with TA21 queries

·Support the inputting of new staff on Chris and TA21 when needed

·Ensure all new starters have submitted their bank details and NI number and P45/46 within a week of start date

·Ensure new starter files are complete there is an e-file for all new starters

·Ensure new starters have a rota created in TA21 for their first week

·Process leaver forms (including letters) and input them on Chris21 including all payments and deductions due

·Process change of contract forms (including letters) including any back pay due or overpayment to deduct and make the changes on Chris 21 the day before the change

·Process and distribute payroll correspondence including P45 to leavers

·Support the monthly payroll reporting, year-end reporting and P11D

·Run the weekly annual leave report and ensure overtaken leave is resolved efficiently

·Run reports on Chris/TA21 systems as requested

HR admin

·Ensure all departmental paperwork is filed away on a weekly basis and all current staff files are up to date by carrying out regular audits

·Remove leaver files from current e-file and then archived in line with internal policy

·Input all staff personal information changes onto Chris21 and on the management structure chart as necessary

·Assist in mail-merging

·Send out replacement swipe cards to stores and input necessary deductions on Chris21

·Ensure that the Health & Safety checklist is updated on a weekly basis with starters and leavers and any missing documents are chased


·Support the Office/HR Administrator in general Head Office/ HR administration when needed

·Ensure all personal and confidential employee data is current, processed and stored as per the Data Protection regulations

·Utilize computer systems, networks and software to produce professional letters, documents and reports etc. and data recording

·Participate in company-wide projects as appropriate

Payroll Assistant: The Person
·Relevant experience preferably within a retail or hospitality Head Office·Demonstrable experience in lifecycle payroll activities and processing monthly payroll

·Good understanding of UK payroll-related legislation and statutory requirements, including PAYE and other deductions and HMRC rules

·Proficient user of Microsoft programs (Microsoft Excel, Word, Outlook)

·High level of numeracy skills, integrity and confidentiality essential

·Self-motivated, able to work independently and proactively without direction, and as part of a team

·Flexible and adaptable in approach to work, with the ability to multi-task

·Good problem-solving and communication skills

·Highly organised with the ability to plan and prioritise

·Structured and logical thinking

·Payroll requirements must be completed within deadlines (sometimes requiring working outside of core hours), particularly with regard to implementation of salary increases, early pre-Christmas cut off and end-of-year returns and reporting. This may also restrict when holiday entitlement can be taken
