Accounts Assistant / Purchase Ledger

Dolphin Square is a unique residential complex which offers over 1000 furnished and unfurnished apartments, along with serviced apartments, corporate housing, Sports & Fitness Club, Moroccan themed Spa, and Bar & Grill / Club Lounge set around three and half acres of landscaped gardens in the heart of Westminster.

Dolphin Square Limited currently have a vacancy for a Accounts Assistant / Purchase Ledger This position reports to the Finance Manager and will be office based in Pimlico (near Victoria) in London. It is a full-time (40 hours per week over 5 days) permanent role.

The Accounts Assistant / Purchase Ledger will be responsible, for processing the day-to-day financial transactions in line with the Companies financial processes and procedures.

Key Responsibilities:

- Reviewing and entering purchase invoices and credit notes. Ensuring they are correctly coded and added to the relevant work flow path for authorisation.
- Help prepare weekly invoice payment runs, including compilation of backing documentation to support payments
- Reconciliation of supplier statements
- Review and analyse petty cash claims, ensuring costs are reasonable and in line with the company’s policies
- Analysis of tenant rent accounts, with any necessary arrears follow-up actioned
- Setting up and processing of new direct debits in the tenant ledger system
- Setting up and processing of new suppliers in the purchase ledger system
- Clerical tasks including filing of original invoices, credit notes and petty cash claims etc
- Processing daily cash/pdq banking and reconciliation
- Review and process utility bills of all-inclusive flats, and vacant flats
- Processing of daily post.
- Ad hoc support to the Finance Manager
- Assisting with month end routines
- Supporting year end processes, including assisting with routine audit queries

Qualifications and Experience:

- Solid work experience of purchase ledger is essential
- Strong IT and numerical skills, including intermediate level Excel
- Experience of Qube or similar property management systems would be preferable
- Experience with Opera, Micros, Brightlime or Phorest would also be preferable
- As part of a small busy team, it is essential that the successful candidate is a team player with excellent interpersonal skills and able to work to deadlines
- Hard-working and conscientious with excellent attention to detail and ability to prioritise tasks according to business requirements
- Able to use initiative and think logically in busy situations
- As an external face of the Finance team, ability to deal confidently with both internal and external queries face-to-face, over the phone and by email
- Able to work across multiple companies
