Position - Operations Assistant

Reporting to Operational Leads Responsible for N/A

Purpose / Role - To assist in the delivery of an optimized service, quality and cost offering to the customers of the Operations department (both internal and externally facing) and to deliver service excellence through demonstrable customer satisfaction.

Key Aims and Objectives -

  • To work within and manage defined Operations activities included in Supply Chain, Quality and Planning functions
  • To support the Operations team in achieving goals that support the overall business plan

Prime Role and Duties

  • Use existing RFQ templates and appropriate supporting tools to prepare & send RFQ’s out for small, low value items from re-order list (upon Buyer request). Create purchase orders, obtain approvals and expedite acknowledgement and orders to completion.
  • Supplier Approvals - Addition / Deletion of suppliers on the system
  • ECO’s - Manage full end to end process, manage stakeholder within the process, report on impact of ECO’s to the Buyer
  • Process Support - Work with functions to improve working processes. This will include, but not limited to, financial reporting/Quality improvements/Project reporting
  • The job holder is accountable for:
  1. Working with peers and senior colleagues within Operations and Commodity teams and the customer base to deliver Project support.
  2. Defined deliverables within an agreed scope of work (agreed between Assistant and Buyer in line with the above)
  3. Delivery against budgetary targets where applicable

  • Service Level Agreements (SLA)
  • Request to Purchase (RTP’s)
  • Invoice Queries

Education and Experience

  • Undertaking a Business related degree, with a requirement to undertake a year in industry
  • Some thoeretical knowledge and the application of Procurement, Sourcing, Supply Chain Management

Competencies

  • Ability to manage the time and working requirements of self to ensure that critical business needs are met at all times
  • Demostrable expertise in the application and use of Microsoft Word, Excel, Powerpoint and Project applications
  • Adherence and compliance to SMD Policies and Procedures at all times
