Job title: Centre Support Administrator and Assistant Receptionist ? X2 roles available
Location: Enfield
Salary: ?17,245 - ?18,601 plus ?1791 LW
Capel Manor College is London?s only Specialist College for land-based studies and an internationally renowned learning resource for all those interested in Horticulture, Animal Management, Saddlery, Arboriculture, Floristry, Garden Design, Countryside and the Environment.
The college are currently recruiting for two Centre Support Administrator and Assistant Receptionist
Key Responsibilities

The post-holder will be required to provide administration support to all areas of the College
The post-holder will be required to cover Reception and the College switchboard on a daily basis

Main Duties and Responsibilities:

Use Microsoft packages including Outlook, Word, Excel, PowerPoint and Access
Undertaking word processing of reports, letters, hand-outs, handbooks, and mailing lists for College staff as required to a high standard maintaining confidentiality as required
Scanning, photocopying and laminating various documents and workbooks. Logging completed photocopying and laminating tasks onto the photocopying record sheet using Excel
Creating badges, place names and certificates
Updating the Annual Financial Report if required, binding and sending it to the Vice Presidents and any other notables
Supporting the administration for the annual College Awards Ceremony, the annual Mayors Day and any special events, including the following tasks:
Sending invitation letters
Monitoring and logging of invitation responses
Preparing certificates
Preparing vehicle passes
Arranging catering
Booking rooms
Any other tasks relating to the events
Ordering and distributing stationery and photocopying paper for Enfield, Brooks Farm and Forty Hall Farm, keeping within budgets
To be the nominated person to ensure the College?s Freedom of Information requests are passed on to the relevant member of staff and to track responses to ??? ensure they are made within the required timeframe
Support the administration for any ?Subject Access? requests received and ensure they are completed within the required timeframe
Administration and collation of the Learner Satisfaction Surveys
Administration support to HR, including the preparation of induction packs and the distribution of staff payslips
Administration support for the Heads of Schools and Tutors, including sending out letters for Parents Evening and keeping track of the responses
Raise invoices for named companies when their photocopying has been completed
Undertaking any other duties and responsibilities of a similar nature as required


Operating the College switchboard, including taking and relaying messages both incoming and outgoing
Dealing with all post requirements including the following:-
Opening and distributing of incoming post
Franking and preparing outgoing mail for collection including Recorded and Special Delivery
Organising a courier service
Maintaining postage and franking machine records
Keeping stocks and ordering supplies for the franking machine and Royal Mail collections
Dealing with all emails received in the ?Enquiries? email account and forwarding enquiries to the relevant member of staff using email or the Capel Helpdesk
Ensuring all parking spaces are reserved with the relevant signs as required
Dealing with all visitors to Capel House and answering the door intercom system when required to include:
Directing students, staff and members of the public as appropriate
Ensuring that appropriate staff are contacted when visitors arrive and re-directing contractors
Ensuring all keys loaned for projector / laptop cabinets are signed out, returned and locked away after use

Special Knowledge and Job Requirements:

Experience in an office/administrative environment
Experience in a customer service environment
Experience of high volumes of work and ability to work consistently under pressure
Excellent communicator and presenter with an eye for detail
Self-starter able to work within strategic guidelines and deadlines
Ability to lead others through inspirational leadership which commands respect and provides an environment where others feel motivated
Skilled in liaison and negotiation with others
Excellent administrative and organisational skills
