Due to ongoing business growth, Assystem is seeking to recruit a Bid Coordinator/Writer to join our sales and proposals team based in our Preston Head Office.

The Bid Coordinator/Writer will perform a key role within the team and will report to the Sales and Proposals Manager. The job holder will be responsible for bid coordination on major proposals and will assist with preparation of bid documents. This may include some bid writing and creative input. This role is very much a ‘hands-on’ position so the suitable candidate will need to be flexible in supporting other sales and marketing activities within the department.

The Bid Coordinator/Writer will be an individual with creative flair and the ability to create compelling proposals and sales documentation.


The bid coordinator is an integral part of the team and will have the ability to work on multiple bids within a variety of sectors and maintain superb communication both written and oral. You will be a key point of contact internally, liaising with several departments to manage and coordinate internal responses for PQQs, bids and presentations. Copy checking/proof reading others’ work will be required.

Typical duties:
Co-ordination/project management of the preparation of tenders/pre-qualification documents and presentations
Preparation of proposals, pre-qualification documents and presentations using approved templates.
Coordination of technical, commercial and administrative elements of bid preparation
Gaining full understanding of bid requirements
Define and manage bid schedule
Collating, reviewing and managing technical input
Creating and updating Proposal CVs
Formatting and layout of final bid documents
Ensuring win themes are clearly communicated in the proposal document
Printing and distribution of final documents
Managing online e-portals
Updating the proposals knowledge centre
General administration as required.
Contribute to the continuous improvement of templates, standard materials and marketing information

Person specification:

Essential skills / experience
Experience of working within a proposals/bidding environment, ideally in a bid coordination or bid writer role, nuclear industry experience would be advantageous
Demonstrable experience of working within a role that required adherence to systems and process
Excellent organisational skills
Strong literacy and grammatical skills
High level of computer literacy in MS Word, Excel and PowerPoint
Strong communication skills
Ability to work to tight deadlines, with several projects running concurrently
Proactive nature, able to work on your own initiative
Good team player with the ability to build strong influential relationships within the business

Advantageous/desirable skills and capabilities for the role are:
Engineering knowledge
Sales & Marketing knowledge
MS Visio experience
Adobe InDesign/Photoshop/Illustrator experience
Association of Proposals Management


The ideal candidate will have a Degree or equivalent in Communications, Marketing, Media Studies, Journalism, Business Studies or similar.

Preference will be given to candidates with previous bid coordination and writing experience but applications from those with relevant transferable skills will be welcome, especially those who can demonstrate flair and creativity.

This individual will be confident in the use of Microsoft Office applications, will be organised and able to multi-task, working to deadlines and thriving on having a variety of projects/tasks at any one time.


Due to the nature of work to be undertaken, applicants will be required to meet certain residency criteria in order to attain a minimum level of UK security clearance.
