This demanding role requires an individual with proven administration and communication skills, as well as, someone who can demonstrate their experience as an articulate communicator and a forward thinker. The role will require a high degree of flexibility, a proven ability to multi task and someone who is not afraid of pressure.

Main Purpose of the Job
• To be the Front of House Manager welcoming guests and visitors into the studio and ensuring all offices are kept fully equipped and stocked up for the day to an immaculate standard at all times.
• To independently manage the post and all courier requirements.
• To efficiently assist the day to day workload of the Project Management team and ensure tasks are delivered on time in full.
• To take and direct calls in a timely fashion and welcome clients in a friendly and professional manner.
• To be responsible for prioritising your work and effectively managing your time to ensure deadlines are always met.
• To manage meeting room diaries, requesting conference call details.
• Manage the Board Room set up duties, be support during meetings including supplying of refreshments and organising catering for visitors and Senior Managers.
• To independently manage all the post / courier requirements throughout the day both to and from the Studio.
• Manage the office supplies and stationary, ensuring the office is fully equipped at all times.
• Update and manage the contract Security and Fire equipment & procedures.
• Additional daily duties may include but exhaustive to ordering on-line food, supplier contractors, maintenance workmen, ordering couriers, and despatch and post duties, coordinating the bookings for taxis, Wi-Fi connectivity, attending to IT / Printer issues, receiving of deliveries.
• Maintaining a professional and corporate awareness when dealing with internal colleagues and external clients.
• To ensure efficient and accurate information is conveyed to all relevant departments in the form of an accurate brief.
• To support the teams in all admin duties including: uploading and transferring files on the server, dispatching files, creating time plans, status reports and preparation of proofs & colour standards, photocopying, binding presentations, filing and putting together mock ups.
• To manage or assist with small projects, as and when required, which will include communicating with Client contacts at all levels.

Skills and Experience Required
• This role is a pivotal part of the team and requires an individual who does not shy away from constant change in a demanding and fast paced environment. Previous experience of multiple line project management is not essential, but enthusiasm and a willingness to learn are paramount.
• Strong organisation skills along with multi-tasking
• Good communication skills – written & verbal
• Excellent telephone manner
• A strong team player
• Good attention to detail
• PC literate – Microsoft Office – Word and Excel
• Experience within the print industry would be desirable
• Project Management skills and experience preferable
• Flexible, hardworking and ambitious
• PA or Reception experience is essential.
• Professional smart appearance and manor.
• Forward thinking and flexibility.
