Our client is an integrated facilities management services who provide the solutions, support, and facilities management services and they are currently looking for an Office/Finance Manager to be based in Eastleigh.

Job Purpose:

To assist the Operations Manager with the financial functions and controls, in line with company procedures, processes and standards, Manage the day to day running of the HCC Helpdesk, administration and finance team based at Eastleigh. Promoting excellent customer service and continually strive to improve service levels whilst reducing cost.


* Oversee and ensure the processing and submission of all monthly reports, specifically the Monthly Finance Report, Total Monthly Cost Report and Monthly Client Cost Reports.
* Liaising with suppliers / sub-contractors for worksheets and/or credit notes.
* Oversee and ensure monthly billing targets are achieved.
* Maximising profitability, checking all necessary costs charges for works completed.
* Preparing reports for internal and external use.
* Manage, control and monitor the day the day operations of the Helpdesk Team and provide administrative support.
* Manage the process for the helpdesk prioritising customer service, attitude and behaviours, appearance / uniform standards and any other issues affecting the operation.
* Co-ordination of KPI’s, customer journeys, customer feedback and customer service surveys.
* Tracking customer issues providing feedback for management team.
* Managing annual leave and sickness record, completing return to work interviews and managing sickness levels.
* Conducting annual personal performance plans with 6 monthly reviews and having regular one to one meetings with helpdesk staff dealing with any issues that arise.
* Keep up to date training records and skills matrix.
* Ensure that the helpdesk is appropriately manned to deliver our service.
* Co-ordinate and deliver monthly team meetings including delivering team talks and key messages.
* Update and maintain the Information Systems Data.
* Provide administration support for the Account as and when directed by the Management.
* Support in arrangements of meetings, interviews and workshops.
* Attendance of monthly meetings and the taking minutes for distribution to the support team.

Service Monitoring

* Assist the Operations Manager to monitor service standards.
* Monitor all financial aspects of the operation.
* Recommend to the Operations Manager the improvements that could be made to the service delivery.
* Liaise with senior management to ensure the contract remains compliant.
* Assist in the compliance of existing H&S policy, safe working practices, liaising closely with the Compliance Manager.
* Attend regular management meetings with in house suppliers and note follow up actions as required.
* Working hours: 8:00am - 17:00pm

Personal Specification:

* Previous experience in leading a team essential – able to demonstrate excellent team management skills, leading by example, being a role model, inspiring and motivating the team
* Excellent organisational skills, methodical approach with ability to prioritise workloads and a good eye for detail.
* High degree of reliability and confidentiality.
* Strong Financial and IT Skills including JDE, MS Word, Excel, Powerpoint (CAFM databases would be an advantage)
* Resilient individual for this very busy and varied role.
* Smart, organised and attention to detail is required.
* Adaptable and flexible approach.
* Experience in the Facilities Industry in particular financial control.
