About the Job: You will be responsible for the general maintenance of documents produced by the Project Management (PM) and Project Coordination (PC) Teams (circa 10 Project Managers and 4 Project Coordinators), as well as the organizing, gathering, scanning, and filing of all applicable documents into appropriate electronic and/or paper copy locations. You may also assist in the archival of appropriate study related documents. This is an important role and one where you will gain a great insight into the Clinical Research industry working with a great group of talented individuals on a daily basis. Responsibilities include: Working directly with the assigned Project Managers and Project Coordinators to review and finalize the Trial Master File (TMF ) Plan and Index for individual projects Creating and/or maintaining any general document/file-related tracking forms and/or spreadsheets, as applicable Maintaining the TMF by interacting directly with project teams in securing documents for the TMF Working with the PM/PC, involved project teams, and applicable business partners for reconciliation of the TMF as part of the quality control process Essential Job Duties: Maintains an internal standardized filing structure for study-related documents. Works directly with the assigned PM and Project Coordinator (PC) to review and finalize the TMF Plan and Index for individual projects. Creates and/or maintains any general document/file-related tracking forms and/or spreadsheets, as applicable. Maintains the TMF by working with applicable project team members to retrieve, file, and upload documents in accordance with applicable SOPs, policies, system, and client requirements. May interact directly with project teams in securing documents for the TMF, as appropriate. May interact directly with project teams to follow up regarding missing documents, as appropriate. Works with the PM/PC, involved project teams, and applicable business partners for reconciliation of the TMF as part of the quality control process. Generates and delivers requested CD copies for clients and archive projects. Performs archiving duties for all paper and/or electronic media, as needed. Maintains departmental files including, but not limited to, training files and project files. Performs other departmental administrative tasks, as assigned. Promotes a professional attitude at all times, both internally and externally, and dresses in an appropriate manner. Performs other duties, as assigned. About You The successful candidate will possess: A solid Administration background with good attention to detail and the ability to work independently as required Good written and verbal communication skills Experience working with computers and basic programs (i.e. Adobe Acrobat, Word, Excel, Power Point) Good organizational skills, with the ability to meet urgent deadlines and work in a fast-paced setting Comfortable with performing familiar tasks repeatedly Desirable: Documentation handling experience Prior knowledge/experience of working with electronic trial master file systems We Offer: The opportunity to work within an experienced and highly skilled team.
