Key AccountabilitiesWork with Staffing & Project Lead to identify Alliance Partners (APs)for project workPrepare and process AP documents escalating language changes and rate negotiations to ManagerPrepare and provide APs with information package on PC processes and briefs, as necessaryEnsures AP CVs are current, reformatted and saved in Alliance DatabaseEnsures APs are compliant with HR, Legal, Finance requirementsCalculate AP multiple and provide financial terms to Project Leads and Practice Leads Arrange for setup of AP in PC systems as neededEnsures AP details including skills are coded in databaseEnsures APs are compliant with required trainingEnsures APs ICA’s and GSAs are current and executedGather and report AP hours Monitor AP usage and Exhibit end dates to ensure all activities covered by active contractsUtilization and Maintenance of all Team TrackersObtain approvals and submit invoices for payment Maintain AP information in AP database Maintain AP calendar for Practices as requiredWork with Manager Alliance Network and Project Leads on AP issue resolution Work with Finance, AP, Legal, and HR on details for APs new countries General administrative duties, such as meeting scheduling and logistics, development of presentation materials, electronic file management, and assistance with special projects Qualifications SkillsAbility to analyze information and make sound decisions based on knowledge of defined processesAbility to handle/share confidential information appropriatelyStrong sense of personal investment, responsibility and ownershipStrong initiative in managing multiple projects, priorities and deadlinesStrong attention to detail and accuracyMature, flexible person with excellent organization skillsExcellent written and oral communication skillsAbility to work professionally in a consistently fast-paced environmentProficiency in computer operating systems, including spreadsheets, word processing and databases, including email (MS Office preferred) Competencies Sense of UrgencyProblem Analysis & ResolutionCritical ThinkingIntegrity & EthicsPeer RelationshipsClient Focus EducationHigh school diploma or Associates or Bachelors degree in an administrative discipline or equivalent experience Language SkillsExcellent command of English both written and verbal Minimum Work ExperienceRelevant Administrative experience ideally within a shared service Environment.Experience working with a Invoicing department or Recruitment Department would be an advantage
