Our client, a well-established company is seeking a PA/Administrator to join their ever-growing team. You would be working at senior director level and taking on a full-on PA role with administration duties and a fair amount of work in Excel. The senior director is out of the office a fair amount so there will be extensive diary keeping and you will have to be confident enough to work on your own initiative. Your duties will also involve ad hoc secretarial support to two managers that are in the office just once or twice monthly.
Main duties for the PA Administrator
• Providing PA secretarial support at senior director level and occasionally for two managers when they are in the office
• Arranging travel and accommodation
• Arrange internal meetings, co-ordinate and manage diaries, travel and itineraries arising from travel, client and staff entertainment, keeping up-to-date records on file
• Upkeep of spreadsheets and data management on excel
• Typing of proposal reports, audio and copy
• Answering telephones and liaising with clients
• Audio typing, copy typing of general communication and reports
• Upkeep of access database
• Liaise with clients and occasionally attend meetings
• Undertake ad-hoc work, research or projects as required by your manager
Person specification for the PA Administrator
• Educated to a high level
• High level of spelling and grammar
• Accurate typing, copy typing and audio
• Excellent organisational skills with ability to organise own time and prioritise workload often within tight timescales whilst still maintaining a high attention to detail
• Competent in using Microsoft Office suite i.e. Word, Excel, PowerPoint and Outlook
• Excellent communication skills, both verbally and written, with the ability to liaise at all levels
• Confident and able to work on own initiative, with limited supervision
• Good analytical skills and confident with managing data in excel
• Able to work on your own, unsupervised
