My client, a dynamic, bright and forward-thinking Events Company is looking for an Events Administrative Assistant to report directly to the Head of Operations. This is an ideal starting position for anyone with an interest in the Events industry and comes with the chance to travel to such exciting destinations as Sydney, Denver, Toronto and NYC.

Based in funky, open plan offices, (with free coffee, breakfasts and evening beers!) the main purpose of the role is to ensure the smooth running and successful management of various events from planning to execution. This will include liaison with sponsors, speakers, C- Level executives and delegates in the run up to the event while also assisting with various event deliverables.

Responsibilities of the Events Administrative Assistant will include;

Liaison with all sponsors in the run up to the event, gathering necessary documents and materials in time for deadlines
Ensuring logos are placed correctly on all signage and event documentation
Onsite delivery items - meetings, seat-drops, drinks receptions, lunches, private dinners
Assisting the producer with all speaker prep on the lead up to the conference including updating bios, panel preparation and website updates.
Ensuring all speakers are prepared for the event and have presentations ready before they arrive
To communicate via telephone, email, LinkedIn and other relevant channels to past, current and potential new customers, build a relationship, understand their knowledge needs and business issues
Meet and greet investors onsite at the events, ensure they are looked after
Work closely with the event sponsors to maximise the participation of their clients in the event
Preparing and assisting all onsite delegate/sponsor packs
Assisting with AV and Venue requirements
Requirements

Ability to work independently and under pressure
Excellent time management with the ability to meet deadlines
Excellent organisational and administrative skills
Written English must be of a high standard in both postal communication and email
Must be a strong communicator both face to face and over the telephone
Excellent communication and interpersonal skills
Confident / Diplomacy
High level of PC literacy is required (Word, Excel, Outlook, PowerPoint)
