Post: Financial Controller Salary Scale £30,400 - £35,022 Pro Rata for part-time. Quaggy Development Trust (QDT) is a registered charity and company limited by guarantee. It was established in 2003 as the successor for the Orchard Community Project. The Trust delivers services to the local community and runs a number of social enterprises:- Quaggy Nursery at Orchard Hill, Lewisham (QCC), Quaggy at Margaret Bondfield Nursery, Plumstead (MBN), Quaggy Nursery at Parkside, Lewisham (QNP). A separate limited company, Quaggy Café at Parkside Limited (QCatP), provides café facilities for the local community. QDT also provides Children’s Centre Services through GWCC (Greenwich West Children’s Centres) serving the west of Greenwich and reporting to the Royal Borough of Greenwich (RBG). Working closely with the Directors and Administration Staff, primary functions of the Financial Controller are Accurate and timely books of account for QDT Input and Control of all ledgers on QuickBooks Online (QBO) With the Directors, control of the Bank accounts and expenses Maintenance of Accounts and budgets Position in the organisation Works closely with the Admissions/Finance Administrator (A/FA) and Office Lead and Directors’ PA Reports to the Directors and Finance Director and Trustees Liaises internally with QDT staff Liaises externally with Company Auditors, Customers/Parents, Local Authorities, other settings within GWCC and suppliers Duties Sales Ledger (SL) Raise children and places invoices through QBO Reconcile Nursery Fees data with spreadsheet and/or First Steps Allocate and post receipts Raise supplementary invoices for services, late fees and GWCC Credit control Purchase Ledger (PL) Manage the purchase order system Process invoices onto Purchase Ledger & General Ledger In conjunction with the Office Lead, prepare remittance advices, reconciled against suppliers’ statements when available (and put forward to Directors and Trustees for payment approval) Oversee invoice file Review month end invoices outstanding for provision purposes Regularly review and reconcile the Purchase Order system Bank & Expenses Daily access of bank position via internet/online banking Daily posting of bank transactions to GL, SL, PL using QBO Reconciliation of bank accounts through QBO Oversee PL BACS payment schedules for Director’s/Trustees’ authorisation Posting expense forms and credit cards Post non PL payments to include payroll, expenses, tax, and so on Prepare regular cash flow to review cash demands General Ledger (GL) Reconciliation of all control accounts in GL Review and ensure accurate posting to GL Prepare monthly journals for posting to GL Review and maintain records of accounts for tax and other purposes Reconcile and settle intercompany accounts Review Income and Expenditure accounts to ensure accuracy, consistency and for provision purposes Quaggy Cafe at Parkside Ltd (QCatP) Ensure timely reconciliation of all daily takings with WorldPay and bank including cash and card takings Raise invoices for services provided by QCatP Maintain internal control systems Process postings through to QBO Prepare reports and accounts and highlight variances from norm Company Accounts Prepare monthly accounts for Directors, Prepare quarterly accounts for Directors and Trustees Support the Finance Director in the preparation of annual accounts for Directors and Trustees with all necessary schedules for transmission to Company Auditors All accounts supported by fully reconciled schedules of income, expense, prepayments and accruals Variances to budget/previous year to be explained Budgets Assist the Finance Director in the preparation of the annual budget Incorporate budgets into QBO VAT Once the Quaggy Cafe at Parkside Ltd is registered for VAT Ensure correct treatment of VAT/flat rate VAT on all transactions Prepare quarterly VAT return for online submission and payment Ensure VAT is correctly treated for QDT. Monthly Salaries and Pensions Salaries are processed by the Office Lead. The Financial Controller will Assist Office Lead with all aspects of monthly payroll Review final submission to Directors for approval Prepare and post monthly salaries journal ensuring accurate analysis All correspondence with the external Payroll Agency Maintain records for Auto-Enrol and Local Authority Pensions, including monthly and annual returns, and control of Auto-Enrol (and opt-out where appropriate) for existing and new employees Liaison as necessary with Payroll Agency, NEST, LGPS & HMRC QuickBooks Online Ensure best operational practices Liaison with helpdesk Gift Aid Ensure maintenance of records Reconciliation and posting of Just Giving records Liaison with others to ensure tax-efficiency in the establishment and control of donations Liaison with Just Giving to ensure returns and postings are accurate, timely and properly recorded Grants and Funding Assist, support and review the preparation of bids and offers for funding and grants Ensure the control, monitoring and reporting of successful bids to the satisfaction of internal and external requirements Ensure timely receipt of funding in line with bids and projects and for cashflow purposes Other Ensure all necessary records are dealt with promptly, accurately and securely - whether paper, electronic or otherwise Insurance – assist with the maintenance of all insurance requirements HR issues – assist Directors and others in the handling of all HR issues Work with Statutory Bodies (Governmental and Charity) for the timely submission of necessary returns, deadlines etc Authority Mandate Online filing as current best practice Other matters to be developed in conjunction with the Directors Meeting Participation Weekly Director’s meeting - or as required Monthly and Quarterly accounts meetings with Directors, Finance Director and Trustees, as required Attendance at Company training and awareness meeting to ensure the best practices of QDT are upheld Annual General Meeting General Skills & Job Requirements Confidence to work on own to tight deadlines; self motivation and a keen sense of responsibility to the Directors, Trustees and QDT Clarity and accuracy of preparation and presentation Team player with drive and flair Will contribute to effectiveness, efficiency and good image of QDT PC literate and adept in use of QBO accounting systems and Excel and Word spreadsheets Ability to train and explain to others in particular in relation to controlling projects and expenditure Minimum Qualifications and Job Experience Qualified or part qualified to final stages of recognised accounting body Can demonstrate formal educational qualifications and ongoing professional education Able to demonstrate effectiveness in a responsible position Accounting software literate Impeccable references Equal Opportunities A good knowledge and understanding of equalities and diversity issues, with a commitment to an inclusive approach to working with service users. Hours of Work: Minimum 25 hours/week (of a full 7.5 hours/day 37.5 hours/week). We would consider more hours up to a full working week if we consider it is merited. Location: Main place of work is Quaggy Children’s Centre, SE13 7QZ. Will be required to travel to other Quaggy or work associated locations, as required. Holiday entitlement: Full entitlement is 25 days a year plus bank holidays (3 of which to be taken at between Christmas & New Year). Holiday entitlement is pro rata for part-time employees.
