Job Title: Data Team Information Officer

Location: Leatherhead

12 Month Fixed Term Contract – Term Time Only

Purpose of role:

To ensure the central LA Management Information System (CAPITA ONE) contains up to date pupil data, with efficient record keeping and monitoring. Delivery of all statutory returns meeting set deadlines. Provide support to Surrey users within agreed service delivery agreement (SDA)

Top 4 Major Tasks and Activities:

·Monitor receipt of data files from schools and Department for Education (DfE) via the secure mechanisms that are in place.

·Provide statistical reports to Local Authorities in and outside Surrey.

·Provide Helpdesk support to SIMS Service Desk

·Create/Maintain termly database for tracking data collections

Additional Key Accountabilities:

·Ensure Virtual School is updated on a regular basis.

·Be aware of the operational needs of the team in line with the Service Delivery Agreement (SDA) and agreed targets.

·Understand and be aware of the DfE requirements and alert to possible changes in regulations where necessary.

·Monitor communications received via the team phone number and email, taking appropriate action in responding or passing to team colleagues

·Support senior members of the data team

·Protecting assets from unauthorized access, disclosure, modification, destruction or interference

·Comply with the Data Protection Act 1998


·A good general education

·An awareness of ITIL standards and processes

·A natural aptitude for IT

·Good customer service skills

Key Outputs/Deliverables:

·Awareness of all aspects contained under the SDA and EMS Managed Service.

·Sharing of knowledge, skills and experience to maintain, develop and improve the quality of service delivery.

·Identify and highlight any amendments to processes and procedures to ensure statutory return deadlines are met.

Person Specification

Key Technical Skills:

·Good communication and written skills

·Ability to work calmly and efficiently under pressure

  • Confident in the use of ICT
  • Ability to work as part of a team or own initiative
  • Ability to prioritise and work accurately to deadlines
  • Good organisational skills

Key Behavioural Competencies:

·Maintain effective and sympathetic communications with schools regarding receipt of their data returns.

·Sustain effective relationships with Surrey County Council.

·Demonstrate the behaviours required of the Babcock 4S Quality Standards and Customer Care.

  • Provide supportive response to schools and Department for Education regarding any issues arising from data returns.

Key Analytical Skills and Challenges/competencies:

  • Ability to relate to external customers and inspire confidence.
