Conference Manager will be responsible for:
The production, marketing and management of a number of successful conferences/exhibitions/award ceremonies: Conduct telephone research with potential target market attendees to test event topic viability and to identify key issues and challenges to develop conference agendas
Research info required to market conferences, including detailed information on the target market, relevant industry associations, publications etc. and competitive events
Research potential sponsors for the event and forward all leads
Transcribe recorded telephone calls and analyse research to develop commercial conference programmes that meet the stated needs of the market, and to produce a conference brief that you and your colleagues can refer to
Identify, invite and confirm appropriate speakers for conferences
Write copy for promotional conference brochures, website, email and direct mail
Liaise with external designer and printer to produce conference brochure
Meet established deadlines
Brief sponsorship and telesales and provide them with the relevant data and information on the target market Manage and support the event sales and sponsorship campaign to maximise event attendance and delegate/sponsorship revenue and growth
Form event media partnerships where appropriate to promote the event
Liaise with editorial to promote the event in the brand magazine, the newsletter and on company social media channels
Promote the event through your own LinkedIn/Twitter accounts, including posting event details to appropriate target market LinkedIn groups
Manage the event direct mail and email campaigns including writing the copy, pulling the data and sending the mail/emails out
Update company website with event copy, sponsor logos, speaker bios and agenda etc.
Manage event budget and produce the P&L • Source appropriate event venues and manage venue contracts
Source and manage all external suppliers e.g. AV technicians, exhibition stand suppliers, photographer etc.
Liaise with all delegates, speakers and sponsors in the run up to the event
Register delegates, raise invoicing forms, send joining instructions and answer all delegate queries
Ensure all elements of sponsor contracts are delivered on, for example providing sponsor stands, badges, sponsor presentations, event signage etc. and answer all sponsor queries
Provide speaker role info, introduce speakers and orchestrate panel conference calls and answer all speaker queries Collate/proof speakers’ slides, biographies and photos and prepare the delegate packs and feedback forms
Prepare all event materials including delegate badges, feedback forms, sign-in sheets, event signage, header slides etc.
Link appropriate speaker slides and upload them onto the laptops
Set-up and run the event on the day, primarily assisting the speakers with their slides and ensuring the smooth running of the conference sessions, but also managing the needs of the delegates and sponsors
Create a professional and smooth on-site environment for all participants on the day to ensure attention to detail is upheld and objectives are exceeded. This includes implementing appropriate processes and systems to maintain the flow and visual aspect of the events.
Manage all staff on-site to ensure the smooth running of the event
Open and close the conference
Collate delegate and sponsor feedback post-event and circulate delegate feedback to speakers and sponsors Approve/edit the event photos and video
Update the website with the speakers’ slides and photos and provide editorial with stats/info for post-event newsletter and press release
The successful candidate for the role of Conference Manager will:
Be educated to degree level with a minimum of five years’ conference production experience
Have experience of producing large conferences/events from initial brief to end
Have people management experience
In return the Conference Manager will receive an achievable salary of c£48,000. You will also receive 23 days holiday, gym membership, pension scheme and more.
