I am currently seeking a Deputy Manager to assist to manage the running of the business including offices, meeting room and event spaces, working with and developing a team to maximise profitability whilst ensuring that the office standards and procedures are maintained.
Financial Management, Weekly, Monthly and quarterly financial reporting.
To be committed to the high standards, client interfacing and client retention.
? To maintain service quality and consistency in line with our service standards and to make improvements.
? Responsible for managing the meeting room and conference room facilities at Adam House and event space.
Oversea the invoicing process and collection of payments for all clients.
? Handle office client service requests and queries in a prompt, polite and professional manner.
? Organising and assisting of internal office moves within the building.
Manage the procurement and purchase order procedure.
? To uphold high level of standards to keep the building looking crisp and sparkling throughout.
? Ensure show offices are well presented at all times.
Organise show rounds for potential office, meeting room, and event clients and to ensure that the building and spaces are presented to the highest standards.
? Follow and implement fire evacuation procedures and make improvements.
? To fully understand and adhere to health & safety procedures.
Monitor and introduce new health and safety procedures.
? Responsible for facilities management of the building including event space.
? To monitor existing supplier and introduce new cost effective service supply companies to the business.
To liaise with brokers or energy companies to get quotations in advance of renewal dates.
? To maximise profitability through increased sales and controlled margins whilst maintaining standards.
? Control set budgets, profit and loss on a constant basis.
? To assist in preparing yearly budgets.
? Submit accurate purchase and wage figures monthly.
? To ensure that all daily, weekly and period paperwork is completed and forward to the relevant
SALES & MARKETING
? Drive sales and revenue through quality initiatives.
Network and introduce new office and event space broker or agents.
? Ensure leads are followed up by the sales & marketing executive or receptionists.
? Research on office rental rates. Comparison Market Analysis CMA.
To ensure all staff receive regular and prompt training in compliance with office standards and where applicable by law.
? Liaise with the Human Resource on staff related matters and be mindful of your limit of authority.
? Interact with team members and clients to keep good relationships and positive atmosphere.
Run regular job chats and meetings to motivate team and establish channels of communication for all information.
? To ensure that staff have clear objectives and that their performance is reviewed regularly.
? Follow out any reasonable instruction as given by your Managers.
