Reporting to the Client Service Executive, this individual will provide accurate and timely support to Sysdoc employees, contractors and clients. Ensuring the efficient running of month end, OpenAir reporting system and corporate purchasing process.

Support the smooth running of month end tasks (taking full ownership overtime):

  • Approving timesheets
  • Approving expenses and creating associated reports for payroll
  • Processing contractor invoices
  • Preparing client invoices
  • Liaising with internal and external employees to ensure timely and accurate data is received

Update and maintain our reporting system OpenAir:

  • Setting up new projects
  • Updating project members
  • Adding financial records (such as when PO’s are received)
  • Creating billing rules
  • Maintaining data integrity with regular audits
  • Continually improving the knowledge and use of the system across Sysdoc

Own the corporate purchasing and invoice process:

  • Purchasing items for the office
  • Updating and maintaining the purchasing spreadsheet/OpenAir
  • Annotating the company credit card statements and sending them to the Accountants
  • Scanning and sending invoices to the Finance Director for payment

Support the Business Development team:

  • Assisting with the preparation of data and or information required for business proposals and statements of work
  • Provide support within the sales PMO
  • Any other appropriate tasks as requested by management and in support of the wider Sysdoc team

  • Strong communication skills, both written and verbal
  • Ability to establish relationships with both sysdoc employees and external client contacts
  • The ability to ensure compliance whilst maintaining an approachable manner
  • A proactive attitude and the ability to work using own initiative
  • Ability to work flexibly and under pressure to meet deadlines and targets
  • A team player who is willing to roll up their sleeves when required

Skills and Experience

  • Previous experience working in office and or finance administration with an understanding of the following areas of finance; invoicing, purchasing, month end and reporting
  • Proficient level on Excel
  • Experience using Netsuits OpenAir (preferred but not essentia) or another similar software System such as SAP or Oracle
  • Experience working in a professional services environment (preferred but not essential)
