A global architect firm are seeking an experienced Project Coordinator to support their team. The candidate must have experience working within an architectural practice in supporting projects, with excellent presentation and relationship building skills.

KEY RESPONSIBILITIES FOR PROJECT ADMINISTRATOR:

  • To support the writing of documents in support of projects including but not limited to proposals, presentations and reports
  • To calculate resource requirements for projects including uploading work plans and tracking hours
  • To record project issues and escalate where necessary
  • To work with change managers to help ensure the success of a project
  • To assist and support client workshop preparation and planning
  • To provide regular reports to directors
  • Provide a central point of contact, guidance, control and co-ordination for the Consulting project team
  • Prepare, edit, publish and distribute a range of documents and materials in various formats to set timetables and standards in liaison with others as required
  • Develop and maintain the project library, filing, recording and reporting systems
  • To provide a comprehensive secretarial and administrative support function to the Regional Leader and wider team
  • Supporting the job winning process assisting in the preparation of project proposals and interview materials

KEY SKILLS REQUIRED FOR PROJECT ADMINISTRATOR:

  • Five year's experience and proven track record is required
  • Ability to work in internal and external team(s)
  • Support delivery of priority projects as assigned, enabling delivery to timescale and on budget
  • Financial skills to include; budgetary control, ordering and invoicing processes, analysis and audit
  • Previous experience of working in a fast moving, confidential, sensitive, pressurised deadline driven environment
  • Education to degree level or equivalent level of knowledge
  • Business Administration or equivalent qualification
  • Microsoft Office suite
  • PRINCE 2
  • Knowledge and practical experience of Deltek or InDesign and WebEx
  • Ability to communicate effectively at all levels using e-mail, telephone or face to face
  • Ability to deal with confidential and sensitive issues with tact
  • Astute attention to detail
  • Ability to work flexibly to meet the needs of the department
  • Excellent communication, negotiation and persuasive skills
  • High standard of presentation of written work
  • Ability to follow complex instructions and to multitask and or adjust plans
  • Ability to priorities own workload
  • Logical and consistent approach to data collection
