My client is a well established business looking to recruit a Part Time Payroll & Finance Supervisor for their business based in South Birmingham.

Description

The ideal Part Time Payroll & Finance Supervisor candidate will have the following attributes:

Finance Responsibilities

  • Supervision of the day to day purchase ledger processing including authorisation of purchase invoices and payment of creditors both monthly and ad hoc. Authorisation of monthly control accounts.
  • Authorisation of PO numbers

  • Supervision of the day to day Sales Ledger processing including monthly import, manual sales invoicing as requested, cash entry and allocation and credit control.

  • Authorisation of DD Failure write offs as requested by the Credit Controller

  • Monthly control accounts

  • Monthly Debtors report

  • Authorisation of petty cash payments and sign off of monthly reconciliation

  • Collection of daily bank statements from Online banking.

  • BACS/CHAPS payments as requested by Finance Director including salaries/expenses/PAYE/VAT

  • Liaison with the Bank Business Account Manager

  • Processing of employee monthly expense claims to a strict deadline, checking receipts, mileage claims and VAT reclaimed

  • After authorisation, BACS payment of expenses on 20th of every month

  • Monthly nominal journal and agreement to SAGE N/L

  • Issue of monthly statements to employees and processing of their analysis. Checking receipts and VAT reclaimed

  • Monthly nominal journal and agreement to SAGE N/L

Payroll Responsibilities

  • Monthly processing of salaries using SAGE Payroll in accordance with the Payroll procedure.

  • Submission of RTI to HMRC

  • Arrange payment of salaries

  • Arrange payment of monthly PAYE to HMRC

  • Maintain company pension records (SAGE Payroll and excel summaries) to ensure correct amounts paid to AEGON including salary sacrifice deductions. Manage pension starters/leavers and auto enrolment compliance.

  • Monthly import of pension summary and payment of the monthly contributions to AEGON using their online system

  • Ensure the timely notification of absence by Line Managers and the submission of Reasons for Absence forms and Doctor's certificates by employees.

  • Record absence using SAGE Personnel

  • Maintain a sickness summary for every employee to calculate the number of paid sick days taken annually and advise deductions from salary as appropriate

  • Monthly sickness reports for the Ops Board and Board of Directors

  • Issue Offer letters and Terms and Conditions of Employment as advised by the Line Managers

  • Request references from previous employers

  • Set up starters on ADMIN. Request set up on email and Intranet

  • Complete the induction process

  • Set up starters on SAGE Personnel

  • Issue end of Probation letters when agreed with Line Managers

  • Advise the employee of the Company Benefits available

  • Delete leavers from ADMIN. Arrange deletion from email and Intranet

  • Complete references if requested

Ad-hoc Duties

  • Advertise vacancies internally

  • Contact Recruitment agencies with vacancy details - negotiating fees to ensure the best value

  • Update company policies and procedures as necessary

  • Issue updates to employees and explain the amendments if requested

  • Advise and ensure accurate process and documentation

  • Maintain H & S records, ensure compliance with Fire Regulations

  • Liaison with the company FA regarding company benefits. Renewal of the policies, notification of changes of employees. Arrangement of annual and ad hoc pension meetings

  • Daily back up of SAGE Line 50 and Sage Personnel

Job Offer

£30,000 - £36,000 pro rata (Equates to £20,000 - £24,000 for the 25 hours)
