Job Summary

To contribute to the delivery of administration services, providing administrative support and personal assistant duties to the senior managers. The role will include working within a busy team, completing a variety of administrative tasks, working on IT systems, coordination of the financial package including initial approving, daily coordination of the sickness absence policy, recruitment and staff on-boarding, maintaining databases/waiting lists/call-up lists, customer service, answering and directing telephone calls, general office duties such as typing, ordering and stock control, scanning, faxing etc.

Key Responsibilities

• Daily coordination of the financial package including processing invoices, initial checking and approving in conjunction with the purchase order database. • Responsibility for the ordering of stationary and other supplies within the approved procurement system and stock control • Responsible for the administrative elements of the recruitment process, staff on-boarding and induction • Providing support in the auditing of non-clinical processes • Minute taking during stakeholder meetings, sickness and disciplinary meetings • Copy type correspondence, reports, minutes and any other associated documentation ensuring that work is produced in an accurate and timely manner. • Distribute agendas, taking and transcribing minutes, booking rooms and facilitating catering requirements. • Monitoring progress of action plans • To undertake general administrative work, including dealing with patients, healthcare and other professionals, over the telephone or face to face; use of clinical IT systems, reporting and monitoring, setting up clinical templates. • Maintain good quality electronic and hard copy filing systems including filing and retrieving organisational documents, records and reports. • To act as Personal Assistant and provide secretarial and administration support to the Head of Healthcare and Deputy Head of Healthcare including the coordination and management of their diaries with stakeholders and ensuring meetings are scheduled and prioritised appropriately and also ensuring that venues and facilities reflect meeting requirements

Qualifications

• Good general standard level of education • GCSE English • Typing or Word Processing qualification • ECDL or equivalent • NVQ 2 Business Administration or Equivalent Experience

Additional Information

This is a full time, permanent role of 37.5 hours, Monday to Friday. The salary for this role is £17,000 –- £20,000 per annum.
