Team Secretary - Maternity Cover Contract

to £40,000 p.a. pro rata

This role is a temporary 6 month position with potential to a further extension.

Location : City of London, Close to Liverpool Street Station and Aldgate tube station

Company: Global, corporate insurance organisation.

Interviews w/c 15/01 with a start date of 22/01

Along with 2 other secretarial/PA team members, you will be providing secretarial & administrative support to a department of 140 insurance professionals who transact business with clients and insurers across the globe.

Team secretary experience in a corporate environment, ideally in the insurance, banking or financial services sector is required.

General Summary
Provide proactive and high quality administrative support to specified stakeholders across a variety of activities including diary management, client entertainment, conference and travel management.

Key Role Responsibilities
Correspondence
·Screen and manage telephone calls and emails efficiently
·Dealing with written and verbal queries, often confidential, and responding appropriately
Documentation
·Establishing and maintain Word and Excel reports, PowerPoint presentations and other documents according to deadlines
·Maintaining an accurate electronic and paper based filing system
·Managing the submission process for expenses according to Company policy
Diary and Meeting Management
·Coordinating and managing diaries including meetings (including telephone and video conferences) and coordinating client entertainment arrangements
·Recording meeting minutes and distributing in a timely manner
Travel Management
·Co-ordinating travel arrangements in line with policy and producing and communicating itineraries
Project and Conference/ Event Management
·Managing ad-hoc projects
·Managing the bookings for team building activities, conferences including block booking of hotels, scheduling diary appointments, venues and extensive liaison with clients
·Liaising with event and conference teams
Relationship Building
·Establish and maintain strong working relationships with internal and external colleagues including client's PAs
Systems
·Systems super user for expense management and the performance/leave management system.
·Supporting stakeholders in using the systems

Technical Competencies
·Touch typing - 60 wpm
·Intermediate knowledge of Microsoft Word, PowerPoint and Excel
