JOB DESCRIPTION

Receptionist

  • Report to Head Receptionist and Office Manager
  • Part of two person team looking after the reception from 8.00am-6pm (working hours being either 8.00am-4.00pm or 10am-6pm)
  • Greet Neptune guests and visitors, making them feel welcome in a positive and friendly manner
  • Ensure meetings rooms are presentable at all times
  • Organise refreshments for meetings
  • Monitor visitor access and initiate security awareness
  • Meeting request bookings
  • Answer switchboard phones and redirect to relevant person or voicemail
  • Responsible for the AV set up for meetings requiring audio/visual, liaising with IT service providers as necessary
  • Daily liaison with the building reception, security and cleaners
  • Collection & distribution of newspapers and post
  • Taking delivery of general office deliveries
  • Booking and receiving couriers / deliveries
  • Organization of massage rotas for massage therapists
  • Input of all staff holiday forms
  • Inform Office Manager of any stationery/kitchen supplies and ensuring they are maintained in an orderly fashion including keeping the production room tidy
  • Oversee the functionality of all printers & photocopiers in the office
  • Organise daily distribution of fruit to staff
  • Ensure shower room and massage towels are emptied daily and unpacked ready for laundry run.
  • Archiving and handling confidential information
  • Responsible for ensuring confidential material is disposed of in a secure manner
  • Ensure reception area is kept tidy and presentable at all times

CANDIDATE SKILLS

Skill set

At least 2 years experience as a receptionist

Experience in Microsoft Office package

Secretarial skills an advantage

Excellent phone manner

IT proficient
