A leading professional services firm based in London are seeking an Executive Secretary to join their team and support 1 Partner, 3 Directors and 2 Senior Managers. This is a busy role and would suit a candidate who is comfortable with high diary management and document production. The candidate will have experience working in a fast-paced environment and will ideally come from professional services. Key responsibilities * Manage complex diaries, using initiative to anticipate and resolve any conflicts * Action emails and manage inbox as required by Partner/Director/Team * Book complex national and international travel arrangements, ensuring efficient use of time and minimal expenditure * Manage department's filing room * Attend internal meetings, take minutes and ensure actions are followed up accordingly * Organise and assist at a range of external and internal events, as appropriate to the role * Develop a general awareness of the business issues and challenges within which the Partner/Director operates * Work to deadlines and prioritise work requests * Assist with client liaison on behalf of your Partner/Director, as required * Always consider ways of reducing department costs, e.g. through effective planning of travel arrangements * Deliver a consistently high standard of secretarial and office duties as required e.g. timesheets, expenses, post and filing Person specification * Experience of working in a fast-paced corporate environment * Ability to work with minimal guidance and supervision * Efficient organisation skills, with a very high degree of accuracy and an ability to prioritise an often conflicting workload * Demonstrates flexibility and resilience * Exercises confidentiality, discretion and personal sensitivity in all aspects of role * Continuously seeks professional development opportunities in order to enhance and acquire knowledge, skills and expertise * Intermediate skills in Microsoft Word, PowerPoint, Excel, Outlook * Minute taking/shorthand advantageous * Good working knowledge of internal databases and systems including CRM, SAP, MyPD and FileSite * 5 GCSEs/'O' Levels or equivalent at grades A-C including English and Maths If you feel you fit the above criteria, please apply today.
