Job Title: Finance Assistant Job Location: Sunderland Secondary School Responsible to: Director of Business Services 1) Purpose of Job * To provide a purchasing service to the Academy and ensure best value is achieved * To provide assistance to the Finance Officer 2)Main Duties * Process purchase requisitions / orders within purchasing authority * Data input as required * Carry out regular soft market testing * Prepare and maintain purchasing records and price lists * Investigate partnership arrangements to achieve economies of scale where applicable * Produce reports as required * Work with internal and external stakeholders to determine procurement needs, quality, and delivery requirements * Assist in the development of specifications for equipment, materials and services to be purchased * Assist in contract negotiations * Administer contract performance, including delivery, receipt, warranty, damages and insurance * Reconcile or resolve value discrepancies * Comply with and maintain knowledge of applicable rules, legislation, regulations, standards, and best practices * Handling, receipting reconciling and banking of cash * Assist in the reconciliation of all purchase card transactions * Producing invoices as required * Assisting with the operation of the Academy Finance System (Sage for Education) * Provide cover on the Reception Desk including all Reception duties * Develop and maintain constructive and cooperative working relationships with colleagues and management * Ensure Asset Register is kept up to date * Any other duties, as directed by the Head of Business Finance, which are considered appropriate to the post and grade. 3) General * The post holder must promote and safeguard the welfare of the children and young people that they are responsible for, or come into contact with. * The post holder must act in compliance with data protection principles in respecting the privacy of personal information held by the Academy. * The post holder must comply with the principles of the Freedom of Information Act 2000 in relation to the management of Academy records and information. * The post holder must carry out their duties with full regard to the Academy’s Equal Opportunities Policy, Code of Conduct, Child Protection Policy and all other Academy Policies. * The post holder must comply with the Academys Health and Safety rules and regulations and with Health and Safety legislation. * The post holder must maintain confidentiality.
