IT Administrator


Norton Rose Fulbright is entering into an exciting phase of transformation on a global scale with an ambitious and dynamic portfolio of major projects set to improve the infrastructure and systems around the world. We are therefore seeking equally dynamic and skilled support staff to ensure our Project Managers and IT Teams are well supported in the delivery of first class ?business as usual? service delivery and to enable the success of the Programme of projects to help us achieve our vision for 2020.

The Team

Reporting to the EMEA Regional PMO Manager and working as a key member of the EMEA IT Project Management Office team to deliver high quality administrative services, ensuring timely delivery of documentation to ensure the successful running of the EMEA IT team.

The Role

  • To provide administrative support to the IT Department.
  • Assist in collating and preparing weekly, monthly and/or quarterly reports. Managing meeting report schedules and distribution lists.
  • Effectively raising and managing all purchase orders relating to the IT Department, through to the supplier and internal Finance departments.
  • Manage the IT Training plan with support and direction from the IT PMO Manager.
  • Supply training dates to team and book training courses, track pass/fail on exams etc.
  • Organise meetings, rooms, catering, conference calls etc.
  • Attend meetings and take detailed and accurate minutes, when required.
  • Arrange or co-ordinate travel and accommodation, managing the itinerary in conjunction with the diary and reviewing forthcoming commitments, to ensure the most effective use of time for the team.
  • Ensure message taking is comprehensive, accurate and reaches the recipient in a timely fashion via the most effective channel.
  • Organise photocopying, printing and binding as required.
  • Ensure mail and correspondence is effectively dealt with in a timely manner.
  • Be involved directly in the team?s project work, where appropriate.
  • Track and log holiday and sickness records, along with Time off In Lieu (TOIL).
  • Set up and encourage attendance to team social events, such as sourcing and booking venues, seasonal parties, bringing a fun element to the team such as ?secret Santa?, support team events etc.
  • Deputising for the IT Executive Assistant to the CIO as required.

Skills and Experience Required


  • Secretarial background and highly proficient in the use of MS Word and Excel
  • Experienced in working in a busy and demanding IT department
  • Excellent communication skills
  • Must have excellent attention to detail
  • Able to demonstrate extensive administrative and organisational skills
  • Ability to prioritise own workload
  • Willing and flexible attitude/team player
  • Reliability, to ensure reports are chased up and content delivered on time for IT Leadership meetings, twice a month.
  • Ability to create and/or manipulate MS PowerPoint presentations under direction would be an advantage

Diary/EA support:

  • Experience in working for senior management and able to work under pressure, on own initiative and as part of a team
  • Diary management, experience of PA/EA support would be an advantage

Supplier Management:

  • A proactive and innovative approach to work
  • Ability to establish good working relationships with clients and colleagues
  • Use of MS Excel in managing training plans and managing client bookings
