Office Administrator

Ensuring the smooth running of operations acting as the first port of call at the reception area and by supporting senior staff in the delivery of programmes, front office functions, the management of data information systems, admissions support and client communication.

Key Responsibilities

- Manage all front of office reception duties: answer phones, receive deliveries, welcome visitors, respond to parent queries by phone, e-mail or in person, liaise with businesses who hold established relationships with the school (i.e. buses, flowers, supplies).

- Ensure high client satisfaction with fast response to enquiries and with a friendly and helpful manner

- Create and manage effective, dynamic systems for all aspects of academic school based administration

- Set up, monitor and manage the School’s information management system -

- Direct and coordinate all school based administration

- Devise effective communication lines to support all stakeholders

- Contribute to the admissions team strategy by welcoming potential clients in school, on the phone or through email. Support the admissions strategy through database management

- Work alongside the school leadership team to develop seamless structures to support the work of the academic departments and school offices

- Be responsible for the development, compilation and publication of all school correspondence

- Provide additional administrative support to the Student Support Department

- Undertake regular training and update practice and methodology

- Take a central role in the cultural well-being of the organisation

- Ensure best safeguarding practices at all times for students

- Participate in staff meetings, training days, parent’s evenings and school functions according to the published schedule

- Play a supporting role in the site management of the school premises

- Offer all clients equal opportunities and maintain an environment in which no one is exposed to discriminatory behaviour

- Update school handbooks, guides and documentation

- Update staff attendance record



?At least 3 years’ experience in a school or office environment

?At least 3 years’ experience managing and office/ reception environment

?Experience of database/ Information systems - iSAMS, Open Apply, google platform, Managebac

?Experience of customer service



?Excellent Communication Skills

?High level of presentation skills

?Exceptional IT skills, including Microsoft Office, database, and Google environments

?High level of time management skills

?Ability to set a high standard of professionalism

?Ability to show initiative and contribute new ideas

?Ability to prioritise

?Ability to develop creative efficient systems to support the smooth running of school operations
