The Department

Our Casualty team provides a full, expert service in defending public and employers' liability claims, particularly workplace, public sector and claims against the emergency services. Weightmans' team is second-to-none in providing defendant litigation services in these specialist areas. We operate on a national basis with dedicated workplace, public and police teams.

The role
  • Process all dictation received from fee earners along with any associated admin for that dictation such as photocopying / scanning / creating CD’s of enclosures
  • Achieve and maintain a high level of typing accuracy
  • Filing – it is important to be familiar with the set up of files and be consistent and accurate when filing
  • Comply with all data security procedures at all times
  • Keep all file information updated – Expert’s Register / FED Directory
  • Adhere to the service levels within the team and ensure work is completed within these levels
  • Liaise with the other support team members to effectively manage workload
  • Be responsible for own training needs and keep up to date with all training opportunities
  • Provide assistance in the billing process or archiving files and other admin duties as and when necessary
  • Resolve minor IT problems and have proficient knowledge of Microsoft and FED
  • Send out all evening post making sure everything is sent securely using the most appropriate method - email / encryption / password protection / Mimecast / Special Delivery / Courier

The person specification
  • Vast Legal secretarial experience, EL/PL preferable but not essential
  • Pro-active team player who works well under pressure
  • Accurate typist with good audio typing skills
  • Ability to create and amend large, detailed documents (i.e. automatic numbering, track changes)
  • Excellent organisation and time management skills
  • Show initiative and be self motivated when required to work alone
  • The ability to prioritise tasks is essential
  • Good housekeeping skills
  • A “hands on” approach
  • Knowledge of computers and all office equipment
  • Good communication skills and confidence in speaking with clients
  • Enthusiasm and good teamwork skills essential
  • Polite and helpful telephone manner in taking messages and directing calls
  • Ability to deal with confidential information
  • Must be flexible when there is a business need to work outside of 'normal' office hours
