PROJECTS CO-ORDINATOR

This is a small but growing business based in Tolworth.
The successful candidate will work with us as part of a small but busy team and must have several years of senior admin experience. They will need to prioritise, multi-task, be committed, enthusiastic, detailed and accurate, and to provide a high level of customer service - solving problems in an efficient manner as well as providing support to the directors and team.


DUTIES

- Support the directors in providing a quality service to our clients and developing our business.
- Assist with sales and marketing on exhibition stands for which overnight stays may be necessary
- Respond to enquiries generated following these up by telephone and email, researching information as required.
- Accompany the Director on client visits which can entail overnight stays.
- Prepare schedules, quotations and confirmation sheets to clients.
- Prepare orders and on-line ordering.
- Liaise with clients and suppliers to ensure that the correct goods are delivered on time.
- Raise problems and queries with suppliers as required.
- Instruct Finance when deliveries are received/or service provided and advising of any cost variances from the original.
- On occasion to assist with on-site placement of large deliveries, leaving the site in a good condition which may involve overnight stays.
- On large fit-outs to send a costed inventory and fabric instructions.
- Assist with the preparation of promotional items and adverts.
- Maintain databases.
- Advise of website updates needed, providing images and text
- Filing
- Provide cover for all other support staff
- Other duties as requested.

General:

The work will involve occasions of lone working in the office which is located in a serviced office building.

When staff are required to work away from the office, expenses will be paid. Some additional hours may need to be worked, often at short notice for which time-in-lieu is given.

PERSON SPECIFICATION

Applicants must have, and be able to demonstrate, the following (the characters in brackets indicate how these will be identified. A/F = App Form, I= Interview, T = Test).

- Min of 5 years experience in a senior admin role (A/F, I)
- Experience of working in a busy environment (I)
- Work alone, and as part of a busy team (I)
- Prioritise own workload (I, T)
- Be conversant and confident with IT packages and social media (AF, T)
- Be numerate and literate (AF, T)
- Have a good telephone manner and confidence in following up sales enquiries, dealing with clients and suppliers with a high regard to customer service (I, T)
- Be fit and able to deal with setting up exhibition stands, assisting with on-site client deliveries.
- Experience of sales and marketing useful
- A driver with a clean driving licence is preferable

TERMS

Salary:£11 hourly
Hours:9-5 M-F with 1 hr lunch.
Holidays:20 days plus bank holidays
