My client is based a stones throw from Ealing Broadway Station and are looking for a School Business Manager to join them with immediate effect.

Your duties will consist of, but not be limited to:

School Budget/Management
* Advising the Governing Body and Headmistress on matters relating to Reporting the school’s budget
* Monitoring the School’s budget by setting up and maintaining a sound system of internal financial control to monitor income and expenditure
* Producing monthly variance reports including commentary
* Report any significant issues to Headmistress and Governors
* Reconcile control accounts including payroll, fees, etc.
* Finance Manual – review and update
Financial Accounts/Year End Processing
* Prepare draft financial statements
* Trustees Report – prepare with governors
* Policies – review risk, going concern, reserves, etc. policies
* Maintain Fixed Asset Register – freehold, catering, vehicle, fixtures and fittings, and computer
HR & Policies
* Support in recruitment process
* Submitting contract requests to Park City
* Issuing staff contracts, letters of appointment, etc.
* Carrying out Disclosure and Barring Service (DBS) checks for all staff and
volunteers
* Ensuring Employment Handbook is up to date
* Reviewing and updating policies regularly in line with Park City’s schedule

Payroll
* Preparing and processing monthly payroll through IRIS
* Preparing and posting payroll journal in Oasis
* Dealing with all aspects of salaries, PAYE, National Insurances and pensions
* Administration of pension scheme (TPS, Stakeholder & NEST) including completing monthly/annual returns, ensuring auto-enrolment regulations are adhered to for the Pensions Regulator
* Completing annual returns as per HMRC regulations – P11Ds, P60s, etc.Day to Day Accounting
*  Maintain a record of accounts for all school purchases using Oasis
*  Keeping detailed accounts and preparing appropriate documentation for school governors, headmistress, auditors etc
*  Maintaining and overseeing bank accounts
*  Cash handling, collections, disbursements, banking and security
*  Management of cash flow
*  Scrutinising and attending to the payment of all invoices and statements of account
*  Administering the school credit card system
Fee Income
*  Issuing termly fee invoices and collection of school fees
*  Issuing termly after school club invoices
*  Issuing monthly ASC invoices
*  Maintaining Bursary & Scholarship schedule
*  Updating starter and leaver schedule
*  Monitoring pupil numbers
*  Chasing unpaid invoices
*  Dealing with nursery grants
Companies House/Charities Commission
*  Maintaining all records to ensure legal obligations are adhered to – annual return, filing accounts, etc.
*  Complete annual return for Charities Commission
Lettings
*  Issue invoices and chase any payments due
*  Liaise with external companies regarding dates, contracts, etc.
HR & Policies
*  Support in recruitment process
*  Submitting contract requests to Park City
*  Issuing staff contracts, letters of appointment, etc.
*  Carrying out Disclosure and Barring Service (DBS) checks for all staff and volunteers
*  Ensuring Employment Handbook is up to date
*  Reviewing and updating policies regularly in line with Park City’s schedule 
UK Border Agency (UKBA)
*  Maintaining Tier 4 (student) and Tier 2 (teacher) sponsorship status
*  Issuing CAS Allocations for potential pupils and collating necessary paperwork
*  Carry out checks for potential teachers and ensuring documentation on file is correct
Census
*  Compiling the necessary data for the completion of the ISC & DCSF school censuses
*  Compiling the necessary data for the completion of the Early Years school census
School Trips and Visits
*  Ensuring paperwork is compliant with legal obligations
*  Costings for visits
Additional responsibilities
*  Undertaking such other reasonable duties as may from time to time be required by the Headmistress
