Our client is an Internationl Banking that is looking to hire a Company Secretarial Administrator for join their Team,

Job Description;

  • To work methodically with attention to detail providing such general support and assistance to the company secretary as may requested from time to time, frequently under tight time constraints, including but not limited to the items listed below;
  • Fast and accurate typing;
  • Written and verbal communications;
  • Document design and creation;
  • Softcopy and hardcopy filling;
  • Ongoing management of softcopy and hardcopy files (live and Archive)
  • Assist in the creation and management of templates;
  • preparation of ad hoc reports;
  • undertaking ad hoc research;
  • Familiarity with /ability to answer questions on the governing instruments of the company;
  • Assist in compliance with statutory requirements and governance best practice;
  • Assist the Company Secretary to remain the statutory books and registers;
  • Help to ensure the effective servicing of a number of Company operating committees and associated meetings;
  • Assist in the calling of meetings, agenda preparation, preparation of minutes, collating papers, ensuring timely distribution, follow up action plans etc.
  • Monitor follow up action taken after the meeting, circulate Actions Taken and maintain Action Taken Reports;
  • Maintain Board and committee record including papers, minutes, the indices of reports considered and delegated authorities;
  • Assist in the organization of meetings;
  • Develop a close working relationship with the company secretary working as a team;
  • Develop and maintain good relations with other members of staff;
  • Deputise in the absence of the company Secretary;
  • Take the lead on and be responsible for Action Taken Reports;
  • Take the lead and prepare the Minutes for at least one ad hoc Committee;
  • Take a flexible approach to relevant issues and act promptly to ensure situations are dealt with appropriately and effectively;
  • No Job Description can cover every issue which may arise within the post at various times and the post holder is expected to carry out other duets from time to time which are broadly consistent with those in this document.
